Position Summary

Triangle Land Conservancy seeks a highly motivated candidate who will report to the Director of Finance and Administration and is responsible for day-to-day accounting functions, human resources, and office administration.

This Finance and Administrative Associate works closely with the Development Department to ensure timely and accurate recording and reconciliation of all gifts and supports the Executive Director with scheduling and some clerical duties.

Essential Duties Include


  1. Assist the Director of Finance and Administration with the day-to-day, monthly and year-end operations of the Finance and Administration Department;
  2. Process and record accounts payable transactions and ensure that all invoices are paid on time, accurately, and in accordance with the Finance policies and procedures;
  3. Review and process credit card expense reports and receipts submitted on a monthly basis;
  4. Perform general account analysis and reconciliations as assigned, including but not limited to bank reconciliations, fixed assets, employer’s benefit costs, accruals and prepaid expenses
  5. Prepare monthly General Journal entries;
  6. Assist with annual audit preparation;
  7. Process monthly payroll;
  8. Review and enter in the general ledger activity related to land transactions;
  9. Facilitate monthly grant meetings with TLC team members reporting and monitoring monthly and grant-to-date activity;
  10. Prepare quarterly sales tax remittances and semi-annual tax refund requests;
  11. Assist with closing on conservation projects as needed.
  12. Perform other duties as assigned.


Human Resources

  1. Assist with recruitment, including posting positions online and scheduling interviews;
  2. Assist with logistics for planning various in-house training sessions on management and other topics;
  3. Help to foster an office environment that supports our growing team and encourages individual growth, collaboration and productivity;
  4. Manage employee engagement initiatives, including lunch-and-learns, birthdays and quarterly team building activities;
  5. Assist with new employee orientation and on-boarding.
  6. Perform other duties as assigned.

Office Administration

  1. Inventory and order general office supplies, act as primary in-office recipient of office deliveries, and provide timely notification to relevant staff;
  2. Liaise with building owner to report issues and coordinate repairs/services;
  3. Help coordinate board and board committee rosters and meetings  as needed;
  4. Plan and carry out logistics for board meetings, conferences, and retreats;
  5. Take minutes at board meetings, finance and investment and HR and Governance committee meetings;
  6. Monitor daily business practices to identify areas for efficiencies and/or improved practices and make suggestions for operational improvements.
  7. Perform other duties as assigned.

Essential Experience, Technical Skills and Competencies

·      BA/BS or equivalent education and/or experience.

·      Demonstrated advanced level experience in Sage Intacct (preferred), Financial Edge or similar financial software.

·      Demonstrated ability to retrieve, analyze and synthesize information to create accurate reports and lists.

·      Strong organizational, analytical skills. High degree of focus and attention to detail.

·      1-3 years of accounting experience, preferably working in the nonprofit environment.

·      High proficiency in Word, Excel and Outlook required.
