The position can be based in Washington, DC or Yarmouthport, MA with 2 days/week in the office

This position will provide technical and administrative support the Global Program Operations team with our global grants administration. This position reports to Global Grants Manager.

Role and Responsibilities

  • Maintains the central recordkeeping system to stay current throughout the grant lifecycle.
  • Provides support to grants teams to ensure timely and compliant verification as well as processing of all external grants according to IFAW's Standard Operating Procedures including, obtaining internal approvals and payment requests.
  • Supports the transition and global roll-out of a new grants management software as core team member for all cycles: design, build/testing, training, migration cycles.
  • May support cross-functional teams to appropriately recognize incoming restricted funding.
  • Provide a high level of professionalism, responsiveness and support to project teams and other IFAW staff which may include: disseminating grant guidance, obtaining necessary documentation, grant package preparations, administrative needs during the grant lifecycle, as well as proofreading and file management.
  • May provide financial analysis for individual and aggregated contracting activity reports, including monthly financial reconciliations and special projects as assigned.
  • Provides occasional administrative support to Program Operations as workload allows.

Qualifications and Education Requirements

  • Bachelor's degree or 2-3 years of experience administering grants and/or contracts and a solid understanding of administrative, financial, and operational processes (nonprofit experience and/or philanthropy experience preferred).
  • Analytical-natured, software/system transition experience helpful.
  • Ability to produce effectively while managing multiple priorities, often competing deadlines, and anticipate and proactively respond to work requests.
  • Superior attention to detail and record-keeping; excellent verbal and written communication skills.
  • Confident user in MS Office, Adobe Acrobat and Windows applications required. Familiarity with Fluxx grants management or Unit4 systems a plus.
  • Culturally sensitive, proven track record of working across different countries and cultures, foreign language a plus.
