Engagement Admin Manager


Mountain Bikers of Santa Cruz (MBOSC) was founded in 1997 as a mountain biking advocacy and social club. Since then MBOSC has transformed into a professional trail stewardship organization that advocates for the best practices in trail network management. MBOSC designs, funds, builds, and maintains trails for all trail users, including mountain bikers, equestrians, hikers, runners, and disabled trail users. 


MBOSC’s Engagement Admin manager is responsible for maintaining and managing the systems that help us engage with our community. This position oversees our CRM system which allows us to track donors, volunteers, members, and event attendees so that we can know our community and better serve and engage with them. This is a highly collaborative position that will interface with all MBOSC programs.  This position reports to the Operations Director.


Time commitment: Full-time. Flexible schedule, requires some evening and weekend work.

Salary: $60,000-$70,000 annually based on experience.

Duties


Implement and Manage MBOSC’s CRM platform (30%)

  • Work with MBOSC program staff to determine specific program needs for CRM system
  • Define requirements 
  • Evaluate best practices 
  • Present and recommend solution
  • Work with contractor to setup and transition MBOSC CRM platform to new system
  • Lead the internal integration, tactical implementation, and rollout documentation
  • CRM to consolidate tracking of

  • Donations
  • Event Attendance
  • Fundraiser Contributions
  • Volunteers
  • Partner Participation
  • Develop and produce monthly reports to track established organizational KPIs
  • Membership engagement and retention
  • Donor engagement and retention
  • Volunteer engagement and retention
  • Volunteer, event attendee and member donation conversions
  • Fundraising campaign engagement
  • Analyze data and identify trends, weaknesses and opportunities in MBOSC engagement

  • Create User Guides for use and maintaining CRM system


Manage MBOSC Membership Program  (20%)

  • Manage CRM platform to track and automate membership process
  • Ensure continuity of member communications and renewal requests
  • Work with businesses to facilitate employee memberships
  • Troubleshoot member issues
  • Manage membership fulfillment process by coordinating vendors and mailing service


MBOSC Development Program Support (20%)

  • Track Donations on a monthly basis
  • Send Donor “thank yous”, goodies, and relevant materials
  • Track donor engagement, communications and updates to ensure donor engagement and retention


Manage MBOSC IT and Systems (20%)

  • Oversee use of MBOSC Project Management Software
  • Work with program staff to train, develop, implement and track project and program plans
  • Work with Events Manager to develop event registration webpages and maintain through registration process
  • Manage upkeep MBOSC websites (backend)
  • Troubleshoot
  • Oversee site maintenance
  • Integrate CRM with MBOSC Website

Other projects and administrative tasks as assigned (10%) 

Qualifications

  • Bachelor's Degree or equivalent experience required
  • At least 2 years of experience with sales or non-profit crm system, donor database, or the equivalent
  • A love for data, manipulating it, presenting it
  • Spreadsheet wizardry with Google Sheets and/or Excel
  • Experience with project management software
  • Creative and strategic thinker with exceptional attention to detail
  • Excellent time management and organizational skills 
  • Above-and-beyond written and oral communication skills
  • Experience working with a team and coordinating between several departments
  • MS Office proficiency
  • Experience with Google Drive and Google Calendar
  • Knowledge of IT and website upkeep
