Director of Finance and Operations
0.6 Part-Time Exempt Position
The Director of Finance and Operations (DFO) is a key member of NCLR’s senior management team. The DFO will report to the Executive Director and interact regularly with members of the Board of Directors. This position oversees financial reporting functions including budget, financial statements, general ledger, receivables and payables, payroll, banking, and investments. The position also oversees NCLR’s administrative activities including human resources and benefits, selected contracts/purchasing, and office operations. The DFO will supervise the Operations Manager and Administrative Assistant and oversee the work of a contract Bookkeeper and Human Resources Consultant. Our ideal start date is late November/early December.
The Director of Finance and Operations will be expected to:
- Know NCLR - its people, mission, culture, programs, operations, base of financial support and its potential – and work collaboratively with staff to integrate good finance and administrative practices throughout the organization.
- Establish strong working relationships with the Executive Director, Deputy Director and Development Director so that, in partnership, sound budgets, fundraising plans, activities and strategies are developed and implemented.
- Provide strategic financial leadership, in partnership with the Board of Directors and senior management, to support and improve NCLR’s long-term financial health.
- Supervise the preparation, execution, and monitoring of annual operating budget of approximately $6 million.
- Prepare monthly financial statements for NCLR’s Treasurer and Finance Committee.
- Oversee cash flow projections.
- Oversee contract Bookkeeper, Operations Manager, and Administrative Assistant in their execution of all accounting functions, authorize and audit expenditures and accounting entries, and ensure proper internal financial controls.
- Monitor NCLR’s investment portfolio and cash flow.
- Oversee business and contractual agreements between NCLR and outside vendors and consultants.
- Oversee, along with the Development Department, systems for tracking progress, earnings and expenditures for contracts and grants, including invoicing and grant financial reporting, and weekly reconciliation of finance income and Development database entries.
- Provide quarterly budget variance reports by department.
- Support and develop relationships with outside fiscal experts (accounting firm, auditor).
- Ensure and oversee preparation of IRS, state, and local taxes and reports (prepared by outside firm).
- Oversee and maintain the fiscal policies and procedures handbook and practices.
- Facilitate preparation of annual independent audit.
- Oversee HR Consultant’s management, maintenance, and development of all benefits, including annual open enrollments.
- With HR Consultant, process new hires and terminations.
- Manage employee personnel files.
- Work with Deputy Director and our employment attorney to ensure NCLR’s compliance with applicable federal, state, and local labor laws.
- With the Deputy Director, oversee annual revisions to the employee handbook, in consultation with our employment attorney.
- Work with Deputy Director and our employment attorney to ensure that all human resource-related matters are handled appropriately and in compliance with applicable local, state, and federal regulations and laws.
- Supervise the Administrative Assistant and Operations Manager.
- Oversee the work of the Operations Manager and Administrative Assistant in managing all information technology needs with our IT consultants; information technology and office purchases, policies, leases, contracts, and equipment; and all office systems.
- Serve as a member of NCLR's senior management team, leading the organization.
- Meet monthly and work closely with our Board Treasurer and Finance Committee.
- Manage and/or execute special research and other projects related to NCLR's mission.
- Minimum education or equivalent experience: Bachelor's degree in business, accounting, finance, or related discipline. MBA/Accounting or CPA is an advantage.
- Minimum experience: five to seven years of finance and operations experience, preferably in a nonprofit.
- Human Resources experience in the areas of compensation, benefits, staffing, organizational development, and employee relations.
- Understanding of nonprofit finance and accounting.
- Excellent experience with budget planning and development.
- Ability to present information effectively and respond to questions from different internal and external audiences.
- Ability to work effectively with the entire management team and ensure that directors understand their financial and budgetary responsibilities.
- Excellent computer skills. Proficiency in QuickBooks, Excel, Outlook and Word.
- Excellent writing skills.
- Flexibility and the ability to work in a small and friendly office environment where each employee assumes multiple responsibilities.
- Practical knowledge of Federal and California employment law.
- Supervisory experience.
- Commitment to NCLR’s mission and programs and knowledgeable about LGBTQ communities and issues.
- Excellent project management skills; able to balance multiple competing priorities.
- Excellent organizational skills and attention to detail required.
- Resourceful and flexible.

Salary is competitive and commensurate with experience within the guidelines of NCLR's scale.
