Job Summary

The Philanthropy Associate will execute support duties for the Philanthropy Department and implement the stewardship plan for institutional giving, individual giving and community engagement programs. Special emphasis on providing support to individual giving including major and planned giving programs, donor recognition and appreciation.

 

Essential Functions

Stewardship (50%):

Implement innovative, engaging stewardship program for key partners including individuals, institutions and volunteers.

Assist in planning donor tours, events, and recognition programs, and provide event logistical support.

Coordinate and make donor thank-you phone calls.

Draft stewardship correspondence, including acknowledgement letters, donor reports, articles for newsletters, etc.

Personalize partner communication to acknowledge special occasions.

 

Major Gifts (50%):

Provide support for major gifts and planned giving programs. Duties include:

  • Schedule conference calls, appointments, meetings, and travel for major gifts team
  • Coordinate major gifts calendar and prepare for visits
  • Transcribe call summaries and ensure consistent, accurate tracking in database
  • Prepare reports and take notes for internal and external meetings and donor visits
  • Organize, coordinate, and maintain integrity of filing system for major gift and planned giving programs
  • Assist in auditing major gifts portfolio in database to identify missing information and opportunities for donor discovery.
  • Conduct donor and prospect research.

Work collaboratively with philanthropy team and other internal and external partners.

Assist in planning Annual Donor Appreciation Event(s).

Assist in gift processing as needed.

Maintain the highest level of confidentiality related to partner information.

Demonstrate safe work practices through awareness and observation in support of a safety culture; reports any potential hazards or accidents.

Perform other duties as assigned.

Minimum Job Requirements

Education: Bachelor's degree or equivalent combination of education and experience.

Experience: At least one year in professional environment; 1-2 years in fundraising preferred.

Specific Skills/Knowledge/Licenses: Knowledge of Association of Fundraising Professionals best practices, including the Donor Bill of Rights; excellent penmanship and written and oral communication skills; high degree of proficiency with computers and computer programs particularly Microsoft Office (including Excel) and fundraising software (DonorPerfect a plus); excellent writing and research skills; strong interpersonal skills. Ability to be flexible and have fun at work.

Exceptional ability to organize work, follow through on projects, anticipate project needs, function independently as well as part of a team, and work effectively with staff and volunteers. Interest in changing the lives of low-income populations through job training and education programs.

 

Essential Physical Abilities:

Lifting and carrying up to 25 pounds; (may include lifting/moving boxes) able to reach above head level, developed fine motor control (grasp, handle, manipulate objects with fingers); pushing; able to travel across a variety of surfaces (stairs, ramps, uneven terrain).

Working Conditions:

Office environment -- the noise level in the work environment is usually moderate. This position requires occasional travel, sometimes between locations, off-site meetings and events.

 

Proficiency with Experience:

Skilled (demonstrates ample knowledge and skills of duties, with 1-3 years of experience).
