Operations Manager

As the Operations Manager, you will work at the heart of our small organization, supporting the operational aspects of the whole organization. You’ll be a great project manager with experience in operations management for a dynamic small organization, and you'll *love* planning events. The candidate needs to have a keen eye for detail, the belief that no task is too big or too small, and the ability to thrive in an adaptive, flexible environment.

In this role, you’ll work alongside the COO to help establish and refine systems and processes, then execute and maintain them, work closely with the bookkeeper to monitor the collection of our membership dues and address vendor issues, and conduct day-to-day office logistics. During our conference season, the Operations Manager plays a critical role in materials preparation, venue reservations, event check-in, and supply purchasing.

Direct Report: Chief Operating Officer (COO)

Location: New York – must be able to commute into the NYC office 3-4 days per week

Schedule: 9:00 AM – 6:00 PM with shorter summer hours. May require some evening or weekend work before the annual conference.

Responsibilities:  

Operations Management (70%)

  • Lead contract administration, compliance, and general vendor management
  • Help the COO develop, implement, and review operational policies and procedures
  • Assist with annual budgeting and audit preparation and ensure accounting compliance during day-to-day operations
  • Manage office operations and administration, including communications (phone calls, emails, mail), general office logistics (filing and purchasing), run errands, and oversee room reservation scheduling
  • Assist the bookkeeper by monitoring the collection of our membership fees, addressing issues with vendor accounts, or dealing with our business filings
  • Keep state filings, licenses, and employee benefits accounts current
  • Be cross-trained with the Membership Manager to assist in certain aspects of membership administration, as a failsafe
  • You will also work side-by-side with the COO, as a thought partner and support all aspects of their duties

Conference & Events Project (30%)

  • Support three annual conferences by identifying and reserving venues, purchasing supplies, preparing, and shipping event materials, assisting with pre-conference and day-of logistics, and in event evaluation
  • Support special events, as needed, by helping to identify and reserve venues, prepare materials, and day-of logistics

Qualifications

  • Five+ years’ experience in an operations management role, preferably at a smaller organization
  • Self-directed and able to work independently; resourceful, strategic problem-solver with a positive attitude
  • Meticulous about details, communication, and follow up
  • Great at project management, able to take an idea then make and execute an operational plan from concept to completion
  • Quick to learn business systems and confident with excel and CMS
  • Excellent relationship builder; able to communicate with firmness and warmth, and to demonstrate a high level of tact, discretion, humility, and diplomacy with all internal and external stakeholders
  • Demonstrate discretion and the ability to maintain confidential/sensitive information
  • Experience working effectively in a small team in a ‘roll up the sleeves’ environment
  • Ability to perform under pressure, with patience and a sense of humor
  • Conference support/management experience, highly prized
  • Bachelor's degree required
  • Experience in philanthropy, working with high-net individuals, or investment managers, a major plus
