About the organization: The Penn Center for Community Health Workers is a nationally-recognized hub for Community Health Worker (CHW) research, patient care, and dissemination. Our IMPaCT CHW model has served more than 12,000 people in Philadelphia. The program is proven to improve primary care access, chronic disease control, and mental health while reducing hospital days by 65%. More than 1,000 organizations have accessed our tools (chw.upenn.edu) and we work with organizations across the country to help them launch and sustain effective CHW programs. Key Duties and Responsibilities: The Administrative Coordinator juggles a variety of responsibilities to keep the team highly productive and ensures smooth functioning of underlying processes and systems to help our organization thrive. An integral member of our fast-paced, high-functioning team, you will:

  • Provide support to business operations, including preparing and issuing client invoices, responding to client inquiries, and ensuring payment and providing data entry support for our internal systems.
  • Schedule meetings and travel (when travel resumes). This includes identifying optimal meeting times, arranging meeting details and issuing appropriate invitations.
  • Ensure the successful implementation of events, including on-site meetings and trainings. This includes sharing travel information with out-of-town guests, reserving rooms, coordinating IT needs, ordering food, welcoming guests, and troubleshooting issues .
  • Manage inventories and serve as point of contact to staff for office supplies and patient needs; place orders, coordinate deliveries, troubleshoot obstacles; explore alternative supplier options when needed.
  • Manage the distribution of transportation vouchers and petty cash.
  • Provide input into administrative processes to ensure continual improvement and optimized processes.
  • Ensure the successful completion of special projects.

Skill and Experience Required:

  • Superior time management and organizational skills, including the ability to multitask with ease
  • Able to meet deadlines and remain calm under pressure
  • Works well with a wide variety of people, including all staff and partner organizations
  • Comfortable giving direction to others, asking questions and managing up
  • Excellent verbal and written communication skills
  • Able to manage projects independently and juggle multiple projects simultaneously
  • Skilled using Microsoft Office, including Outlook, Word, Excel, and PowerPoint, as well as virtual meeting platforms like Microsoft Teams and Zoom, QuickBooks and Mavenlink, a plus
  • Handles confidential information, including executive correspondence and client/financial information, with an exceptional level of care and confidentiality
  • Associate’s degree required; bachelor’s preferred
  • Previous experience in an administrative support role preferred
