Shelter Site Director

The Site Director is a passionate, confident, responsible and experienced leader who oversees the operation of an emergency shelter family center. The Senior Site Director works directly with parents and children experiencing homelessness as well as community partners and donors. General responsibilities include oversight of the staff and operations at the site. The Senior Site Director works with the AM and PM teams and their managers to ensure training, implementation and adherence to the daily structure and program schedule for guests. This includes collaborating with Mary’s Place Health, Youth, Employment and Housing services teams to coordinate services with our guests, building and leading strong teams, serving as a positive ambassador for Mary’s Place, and ensuring smooth operations with high levels of guest satisfaction


This is a full-time exempt position and reports to the Associate Program Officer of Shelter Services. This position requires flexibility and willingness to work outside of normal business hours, including nighttime and weekend hours. As part of the regular work schedule, the Site Director is expected to be on-site regularly and work a significant part of each shift (day, evening, and overnight) at least once per week so that each shift and manager works with the Site Director at least once per week. The Site Director is expected to be available for emergency calls outside of normal work hours. Starting compensation for this position $75,000-$90,000.

This position supervises: 2 Shelter & Services Managers (Day, Evening, and Overnight), with overall responsibility for all shelter staff at the site.

Key Responsibilities

Leadership 20%

  • Create and actively work towards site-based racial equity goals; strive for racially equitable outcomes; take responsibility for creating and maintaining affirming communities for people of color, immigrants and refugees, trans and gender-non- conforming folks, and other populations who routinely encounter systemic oppressions
  • Elevate the voice of our guests in all considerations and work with the staff and volunteers
  • Act as the site’s representative with CPS, the police, outside vendors, neighbors and others; collaborate with the Program Officers and leadership as needed
  • Create and maintain a safe and respectful environment for guests, staff, and volunteers
  • Create and uphold a creative, team-centric, and collaborative culture and approach to guest services and job performance; model this behavior and coach Shelter & Services Managers and shelter staff toward a constructive, solution-oriented approach to their work
  • Model and ensure accountability and consistency in both team and individual goals and processes, including a clear understanding of and adherence to Mary’s Place policies and procedures
  • Participate in regular shelter leadership meetings

Management and Supervision 20%

  • Ensure day-to-day shelter operations are carried out with professionalism, efficiency, and consistency in keeping with Mary’s Place policies and procedures
  • Supervise and ensure that Shelter & Services Managers are thoroughly trained and have ongoing support through coaching, feedback, goal setting, accountability, weekly 1:1 meetings, and monthly management team meetings; responsible for performance management including annual performance reviews and meeting expectations
  • Provide support to the Shelter & Services Managers to help manage staff issues when these are elevated to the Senior Site Director
  • Implement quarterly team-building activities and staff development plans
  • Plan and facilitate monthly staff meetings at the site, ensuring that staff from all shifts have reasonable access to staff meetings and participate in them, and that information from staff meetings is communicated to all staff in a meaningful way
  • Facilitate guest meetings as needed to ensure coordination with program teams and services; Share with and encourage guests to participate in on-site events
  • Oversee the disposition of guest concerns when elevated from the Shelter & Services Managers, ensuring timely and fair resolution in accordance with Mary’s Place policies

Program Development 25%

  • Work with other Site Directors and program staff to clarify and maintain consistent policies and procedures across sites, and to support staff and guests in the way these are carried out
  • Work with Program Services and Volunteer Engagement staff to create and deliver a weekly program schedule with robust on-site services for all guests
  • Develop and maintain positive relationships with outside providers and volunteers
  • Participate in the planning and facilitation (daily and weekly) of on-site community meetings with guests
  • Keep up to date on community resources that provide client services and ensure staff are aware of these; Provide resources and referrals to families.

Training and Mentoring 15%

  • Maintain a robust training process for all shelter staff including onboarding checklist and comprehensive training, skills assessment, support for the Shelter & Services Managers in their supervision of shift staff, and ongoing training for all staff as needed
  • Promote and model principals of Housing First, low barrier frameworks, trauma-informed care, harm reduction approaches, and motivational interviewing to staff, guests, service providers, and volunteers
  • As a member of the shelter management team, work with the Chief and Associate Program Officers and the Learning & Development Manager to assist in the development and delivery of ongoing training programs to ensure all staff are trained and improving their knowledge and skills

Recruiting and Staffing 10%

  • In conjunction with Shelter & Services managers, serve as the primary hiring manager for the site
  • Ensure a full staffing schedule; coordinate with Shelter & Services Managers to assist with shift coverage as needed

Administration and Data Collection 10%

  • Ensure the shelter occupancy rate is at least 95%, with a target occupancy rate of 100%
  • Maintain staffing levels and other budget targets in accordance with site budgets
  • Review and approve time sheets for Shelter & Services Managers; audit shelter staff time sheets as needed to ensure compliance with timekeeping expectations and guidelines
  • Ensure timely and accurate guest documentation by all shelter staff in the Mary’s Place database
  • Support leadership data goals by ensuring that the site’s data collection is accurate, timely and thorough according to weekly, monthly, quarterly, and annual timelines
  • Ensure timely documentation and communication around employee relations issues (including performance management/corrective action and annual performance reviews) and resolution of guest issues, according to Mary’s Place policies and procedures

Requirements


Skills/Qualifications

• Bachelor’s degree or higher in social services or related field, or equivalent experience

• 3+ years of people management experience in a leadership role

• 3+ years of experience working in social services or a related field; experience working with homelessness services and families preferred

• Demonstrated commitment to racial equity; understanding of the effects of systemic racism and its intersections with poverty and homelessness

• Proven ability to form positive relationships with guests, staff, and volunteers, and to work collaboratively in a team-oriented environment

• Demonstrated problem solving, conflict mediation, and crisis management skills

• Demonstrated ability in high level of strategic thinking, as well as attention to detail and accuracy

• Highly motivated, resourceful, flexible, and professional; able to maintain a positive attitude, remain calm, and display a sense of humor even under pressure

• Excellent written, verbal, and interpersonal communication skills, including active listening, motivational interviewing, and meeting facilitation skills

• Demonstrated understanding of trauma-informed care and Housing First

• Ability to set and model appropriate professional boundaries

• Exhibits compassion and empathy, and demonstrates these qualities with people from multi-racial and multi-cultural backgrounds

• Fluency and literacy in English; fluency in other languages is a plus

• Advanced proficiency using Microsoft Office Suite and demonstrated ability to learn other software and database programs quickly; experience with Agency software preferred

• Frequently required to stand, walk, use fingers, hands and arms

• Ability to occasionally push, pull, lift and/or carry supplies up to 25 pounds

• Work takes place in a social services environment where long periods of sitting, working on a computer, walking to various work areas, going up and down stairs, and standing are required

• Travel to program sites and meetings outside the site and around the county are necessary

• Ability to work in an environment where there may be animals present, including dogs
