Program Coordinator

The Program Coordinator will work directly with the Director of Columbia’s Committee on Global Thought to oversee day-to-day administrative, communications, and development operations.

Responsibilities

Financial Management

Responsible for finance processing, including but not limited to: managing funds, accounts reconciliation; database entry and generating reports; reviewing and submitting expenses, reimbursements, invoices, and honoraria; audit assistance; manage relationships with vendors and conduct basic procurement. Will provide regular reports to Director, often providing detailed analysis.

Communications

Design and create publicity materials for informational and promotional purposes maintaining a uniform style in line with CGT branding guidelines. Develops communications materials for CGT programs (composing event descriptions, designing posters/flyers, social media campaigns) and building strategy for increased digital and in-person engagement.

Monitor and update CGT website regularly. Field inquiries from general public and Columbia community regarding CGT programs and events.

Oversee the production of the CGT Annual Report, including writing and collecting all copy, graphics, and photos. Working closely with CGT staff on editorial and artistic direction.

Compile analytics reports on communications, marketing, and events efforts.

Development Coordination

Write and coordinate the production of donor reports, solicitation letters, gift transmittals and special acknowledgment letters.

Assist Director with prospect research and proposal development; coordinating and managing database entry; interact with internal and external constituencies.

Assist with vendor and site inquiry for special events and CGT Advisory Council meetings.

Maintain donor lists including assurance of data base accuracy; maintain files and database portfolio.

Sponsored Projects Administration

Oversee preparation of sponsored projects proposal submissions.

Provide Principal Investigators with guidance and support in the submission process; work with the University central departments including Sponsored Projects Administration to ensure that submissions are accurate, complete, up-to-date, timely and comply with the University policies and procedures.

Provide guidance on compliance matters as they relate to proposals for submission.

Assist in planning and reporting of CGT sponsored and non-sponsored research (including student research).

Office Management

Coordinate the scheduling of all CGT staff and faculty meetings. Ensure Director and CGT Chair are prepared for upcoming meetings by providing meeting materials and agendas. Maintains accurate electronic and paper filing system. Resolves all facilities and technology issues. Manages and orders office supplies, software and technology.

General

Hire and train Work Study positions, coordinate Work Study work assignments, and approve their hours. Update standard operating procedures for Work Study students. Send reminders to Casual employees to submit timesheets. Review timesheets for accuracy and supervisor approvals and process all timesheets for Casual employees.

Additional duties as assigned.

Minimum Qualifications

  • A bachelor's degree and/or its equivalent and a minimum of two years in related administrative experience in a university or other complex organization. 

Position-Specific Qualifications

  • The incumbent must possess excellent verbal and written communication skills and should have experience and knowledge in drafting documents, interpersonal communications, customer service, dealing with ambiguity, program planning, and other organizational skills.
  • The incumbent must display resourcefulness, discretion, attention to detail, flexibility and the ability to prioritize and manage multiple tasks.
  • Proficiency in Microsoft Office, Wordpress, HTML, and Adobe Creative Cloud.

Preferred Qualifications

  • Knowledge of Columbia University’s accounting systems (ARC) preferred.
