    PSR Pennsylvania is a public health, 501c3 non-profit organization which fulfills its mission through programs focused on health and the environment and working with youth. Composed of a variety of health professionals, PSR Pennsylvania is uniquely equipped to discuss threats posed to public health in our region.

    The Position

    The Bookkeeping and Grants Coordinator plays a critical dual role at PSR PA, ensuring the financial health of the organization and supporting the growth and sustainability of our grant-funded programs. This position is ideal for a highly organized, detail-oriented professional who thrives at the intersection of numbers, compliance, and mission-driven impact.

    RESPONSIBILITIES:

    Bookkeeping

    • Maintain accurate and up-to-date financial records, including transaction entry and account reconciliation
    • Prepare regular financial statements and internal reports for staff and board review
    • Ensure compliance with financial policies, GAAP standards, and nonprofit regulations
    • Process invoices, reimbursements, expenses and vendor payments
    • Track restricted and unrestricted revenue and expenditures
    • Assist with annual audits and 990 preparation
    • Collaborate with Executive Director and external accountants as needed

    Grants Management

    • Research grant opportunities aligned with PSR PA’s mission and programs
    • Coordinate and contribute to the preparation and submission of grant applications
    • Maintain a grants calendar and track deadlines for applications, renewals, and reports
    • Monitor compliance with grant terms and ensure proper documentation and fund use
    • Collect data and draft narrative and financial reports for funders
    • Work with program staff to gather necessary information and report on progress
    • Maintain organized records of all grant correspondence, applications, and reports

    Qualifications

    • Proven experience in bookkeeping, financial management, or accounting (nonprofit experience preferred)
    • Advanced familiarity with QuickBooks Desktop Enterprise 2025
    • Experience with grants management, including reporting and compliance
    • Strong attention to detail and ability to manage multiple deadlines
    • Proficiency in Excel and general comfort with financial data
    • Strong writing and communication skills for preparing grant documents and reports
    • Commitment to PSR PA’s mission of environmental and public health justice

    Location: Must live in Philadelphia.

    Terms

    • This is a part-time position with occasional evening and weekend hours required.
    • Reports to the Executive Director.
    • Hourly Rate: $25/hour approximately 30 hours per week.
    • This is a fully remote position which requires reliable transportation in order to:
      • Retrieve correspondence from the post office.
      • Manage bank transactions.
      • Visit the Center City office as needed.
