Under the supervision of the Director of Clinical Services, the Administrative Assistant provides support and assistance to the Director of Clinical Services and to the Deputies.

Specific essential job functions includes:

Draft memoranda, letters, and other correspondence. Schedule meetings, prepare minutes of meetings, and host meetings as assigned, including initial phone contacts, sending notices, setting up and scheduling the meeting place, prepare minutes for meetings. Assist in the training of staff and managing of the Facsimile and Photocopy technology. Answer phones as assigned. Perform general Office duties as assigned. Develop and maintain productive relationships with agency staff, as well as with other personnel associated with funding sources & compliance such as CBHS & CCL. Assist in design and coordination of and preparation for trainings, including setting up the room. Compile agency Client Satisfaction data and prepare reports as assigned. Serve as a role model for positive employee relations and professional functioning. Generate quarterly Client Data Reports and assist in maintaining Client Database.

Update CBHS policy manual and address questions from Leadership Staff regarding the Process and file CCL incident reports. Maintain computer requirements of the City and County of San Francisco Community Behavioral Health Services. Perform other related duties as assigned by the Director of Clinical Services, including but not limited to, order supplies, preparation of reports, and completion of special projects.

Level of Language Proficiency

Bachelor’s Degree and at least two (2) years’ experience performing office or advanced clerical duties preferred. At least six (6) years of verifiable experience in a similar position may be substituted for the degree requirement. Strong organizational skills. Demonstrated ability to write clearly and concisely and to communicate professionally both in person and on the telephone. Proficiency in computerized word processing and ability to type 45 words per minute. Must have high knowledge and proficiency in the use of Microsoft Word, Excel and Powerpoint. Must be computer literate and comfortable assisting others. Acceptable level of maturity, good judgment, and emotional stability.
