Title: Payroll Assistant 

Department: Finance 

Reports to: Payroll Specialist 

Location(s): Hybrid 


The Payroll Assistant reports to the Payroll Specialist and will help review payroll processing and departmental communication for staff payroll information.   The ideal candidate is highly detailed with a strong customer service approach.  The Payroll Assistant should be comfortable in a very fast paced and high volume environment. 


RESPONSIBILITIES: 

Work in partnership with the Payroll Specialist and HR Coordinator to review bi-weekly payroll processing to ensure timely and accurate processing and/or analysis of payroll transactions including garnishments, taxes, direct deposits, and other deductions for Food Bank employees.   


Review and add time to timecards from the company call-out log for Exempt members, and assure time keepers edit their direct reports time cards appropriately with call out information  


Review time card data for missed punches and/or days left blank within Work Force Ready TLM system; Weekly auditing of time sheets for non-exempt members  


Communicate with time-keepers to edit their direct reports time cards prior to payroll deadline day 


Assist with maintaining data integrity within all payroll and TLM systems  


Assist in resolving payroll issues as they arise and work with payroll specialist to implement procedures to mitigate future risks and errors  


Provide finance with basic reports and required documentation for Grants and Funding.  


Facilitate post payroll audit reporting as needed 

Provide accountants with documentation such as: completed 403b summaries, payroll data as needed for bank reconciliations  

Generate reports within UKG pro when needed   

Monitors and responds to employee mails accordingly  

Readily available to assist with any day-to-day ad-hoc projects when necessary 

WORK EXPERIENCE: 

5 Years previous payroll experience with company with 150+ employees 

3-5 years' experience working with UKG Pro (formerly Ultipro) is mandatory 

Experience with NetSuite or similar ERP’s preferred. 


COMPETENCIES 

Proficiency in Microsoft Office applications; 

Ability to work independently in a fast paced environment; 

Knowledge of federal and state specific payroll laws in the US 

Well organized with good time management skills 

Have great attention to detail and with strong communication skills 

Commitment to continuous process improvement; 

Commitment to the Mission and Core Values of Food Bank for New York City. 


EDUCATION: 

Minimum Associates degree in Business related major.  Bachelor’s degree in Business related major preferred.
