Who We Seek

We seek an enthusiastic self-starter that has passion for RPA’s mission and values, and a commitment to excellence. The individual will have solid experience (or understanding of) providing administrative support in a one-on-one working relationship and as part of a team.  The individual must be able to manage multiple priorities simultaneously and command a strong attention to detail. This person must be curious, committed to exceptional client service, enjoy problem-solving, and have an appreciation for the work of non-profit organizations. The candidate should demonstrate commitment to RPA’s values of integrity, diversity, quality and trust. This position will work from the San Francisco or New York office when working from the office resumes.

Primary Responsibilities

The Associate on the Sponsored Projects and Funds Team (SP&F) supports the team’s senior staff and handles a variety of professional responsibilities including heavy calendar management, invoice, and expense processing, and management of internal and external conference calls. As assigned, the Associate supports activities that ensure timeliness and efficiency of services across platforms, and overall client satisfaction. Responsibilities include:

+     Provide administrative support to the leadership staff of the SP&F, and to other team members as needed and assigned

+     Review and prepare senior staff’s invoices and reimbursement requests for payment, as assigned

+     Coordinate planning and preparation of meetings, including meeting materials, and meeting minutes as assigned.

+     Support management of a portfolio of projects as needed, as assigned

+     Support the review and execution process of independent contractor and vendor agreements or contracts, as assigned

+     Support grantmaking activities as assigned, including grant agreements, and facilitating grant payments and reporting

+     Support the on-boarding of new Sponsored Projects, including scheduling, and preparing related meeting materials

+     Support senior staff as assigned in the monitoring of Sponsored Projects’ inquiries, requests or issues related to support services (Finance, HR, and Operations)

+     Serve on and support teams/committees for internal RPA-wide initiatives that further RPA’s mission

+     Work cooperatively and support team members, as needed


Desired Qualifications

+     B.S./B.A.

+     Office work experience 

+     Demonstrated writing and analytical skills

+     Good working knowledge of Office Suite

+     Computer proficiency, particularly database management

+     Excellent communication skills, both oral and written

+     Commitment to accuracy and attention to detail

+     Ability to access a wide range of sources and networks to gather information

+     Ability to multi-task and balance the workload demands of multiple clients and staff members

+     Good judgment and ability to function independently

+     Comfortable engaging with client staff at all levels

+     Familiarity with nonprofit sector, including fiscal sponsorship and grantmaking organizations (Helpful).
