The Administrative Assistant to the President’s Office provides various administrative support duties and assistance to the Chief of Staff in her role providing administrative support to Clarke’s executive management team. The support to the leaders will ensure their ability to operate as efficiently as possible. This executive support role to the Clarke leadership is an opportunity to contribute to the critical operations of the organization.


Essential Duties/Responsibilities:

  • Clerical and administrative support (filing, phone calls, scheduling meetings and appointments, taking minutes at meetings, ordering office supplies)
  • Assist Chief of Staff and others with coordinating logistics for special projects and events (board meetings, graduations, staff recognition, Alums)
  • Travel arrangements for CEO with potential to assist other staff with travel arrangements.
  • Coordinate special mailing projects.
  • Attend the Program Directors’ monthly meetings and records minutes.
  • Monitor Clarke’s general information email (info@clarkeschools.org), responds or distributes to appropriate individuals, including follow-up to ensure completion. Fills order requests for Clarke’s 101 Ideas publication and other material requests.
  • Coordinate with Accounts Payable for review and approval of invoices. Submit MasterCard billing backup to Accounts Payable monthly.
  • Update Clarke organization-wide calendar, phone extensions and notifications on SharePoint.
  • Safeguard the organization, staff, and alum confidentiality at all times.

Other Duties:

  • Ability to occasionally work overtime to meet deadlines and attend special meetings or functions
  • Perform other duties or light maintenance as assigned.

 Physical demands:

  • Ability to climb stairs
  • Ability to occasionally lift 15 to 20 pounds
  • Use/care of typical office machines such as loading paper into copier, change ink cartridges.

 Education, licenses, certifications, skills, and experience:

  • Experience supporting the administrative needs of senior-level executives
  • Knowledge of commonly used digital office platforms (e.g., Microsoft Word, Excel, PowerPoint, etc.)
  • Excellent organization skills
  • Demonstrated ability to work with a variety of people.
  • Effective time management skills
  • Ability to prioritize while responding to multiple people and requests
  • Strong literacy skills
