Position Summary:   Primary responsibilities includes serving as a receptionist and all aspects of administration, communication and customer service with customers and employees.


Schedule varies Monday-Friday 9-1, 1-5 or 5-9 and occasional Saturdays and Sundays for total of 20 hours. Must be willing to work at least one Saturday a month.


Duties and Responsibilities (including but not limited to):             


  • Customer Relations
  • Answering phones and greeting customers to provide information and customer service to students, parents, faculty, staff, trustees and guests
  • Providing information e.g. brochures and catalogues, etc. as requested
  • Effectively communicates information regarding Levine programs, new student placement process, class availability, etc.
  • Facilitate internal communications with sites, staff and faculty
  • Ensuring timely and efficient phone and voice mail response
  • Assist staff and faculty with operations of all fax, copiers and postage machine
  • Assists staff and faculty with copying, mailing & project needs


  •  
  • Administrative Assistance
  • Maintenance of front desk office equipment
  • Maintaining a neat and orderly appearance of front desk and surrounding area
  • Coordinate with Day, Weekend and part-time front desk staff to ensure substitute coverage for vacation, sick & other vacancies.
  • Order/restock office supplies
  • Create Vendor Accounts when necessary
  • Oversee mail in and out – ensure proper distribution
  • Responsible for all special handling of mail or deliveries
  • Replenish postage meter
  • Assist with any special projects that may come up

                    Coordinate room set-ups with Building Engineer

 

  • Qualifications:           


  • Pleasant and professional phone manner and demeanor
  • Excellent interpersonal and customer service skills
  • Previous customer service experience
  • Excellent computer skills including Microsoft word, Excel, Outlook and database management
  • Understanding of office practices and ability to multi-task
  • Willingness to work in a team environment
