Description

The Communications Coordinator is a new role at MNWB responsible for working with the Senior Manager of Communications and Marketing to oversee both administrative processes and content development. This position is designed to 1) implement the organization’s communications strategy through compelling and impactful digital communications creation, manage our online presence, and foster stakeholder engagement, and 2) provide organizational support for all MNWB staff to ensure access to all necessary tools and materials.

 

Working with the Senior Manager of Communications and Marketing, the Communication Coordinator will support development of a dedicated communications strategy, create important content for social media platforms, and partner with our teams to streamline marketing goals for their departments. Additionally, they will support MNWB’s organizational needs through employee coordination and management of technology licenses and inventory.

This position is part of the Strategy and Impact team that oversees the processes for tracking the clients we serve through our programs, services, and initiatives and communicating our collective impact.

This is a hybrid position. This position must have regular, in-person presence in the Metro North region. This includes:

  • Regular in-office days during onboarding.
  • Two in-person collaboration days per month at MNWB’s office in Davis square, Somerville.
  • In-person meetings with community organizations, partners, and employers.
  • In-person site visits of internal and external training programs.
  • In-person job fairs and events for STEM Week.
  • Graduations of training programs.
  • Any other meetings, events, etc. that the supervisor deems necessary for in-person presence.

 

RESPONSIBILITIES/DUTIES:

 Communications (50%)

Social Media Content Creator:

  • Creating and editing written and visual content for our websites, newsletters, and social media (LinkedIn, Facebook, and Instagram, primarily), including but not limited to taking pictures, videos, utilizing data tocreate content, and interviewing community members (such as program participants, youth, legislators, employers)
  • Design and implement a portfolio of quarterly email newsletters to be sent to stakeholders.
  • Ensure the collection and organization of completed photo release forms when applicable.
  • Stay current with and assess industry and social media trends, tools, platforms, innovations, and best practices.
  • Review and help maintain website https://masshiremetronorth.org/ to ensure that it is up-to-date and accurate.
  • Ensure MassHire branding compliance.
  • Develop and support staff in developing marketing materials, including flyers and campaigns, for program initiatives.
  • Attend in-person events across MNWB programs to create content.

Internal/External Communications

  • Articulate MNWB’s mission, history, and initiatives clearly and concisely to a broad range of

collaborators.

  • Collaborate with internal staff and external partners to craft content for the website, newsletters, and social media channels.
  • Work with the Senior Manager of Communications and Marketing to create a system for internal communications to be utilized by all staff across departments.
  • Provide diligent contact management, including addressing email bounce-backs in Mailchimp.
  • Monitor the organization email addresses for requests.

Strategic Plan:

  • Report out marketing/communications metrics on a quarterly basis for MNWB 5-year strategic plan.
  • Maintain and upkeep accounts, contacts, grant opportunities, and correspondence with funding entities within the Salesforce platform.
  • Collaborate with Strategy Team to write content and edit MNWB’s Annual Report.
  • Support the presentation and communication of data across the organization’s 5-year strategic plan.

Administrative (50%)

Meeting and Event Support

  • Assist in recording meeting minutes for Board meetings and staff meetings as needed.
  • Support organization of in-person collaboration days and staff retreats, including ordering food, researching office space, and booking hotel rooms, etc.

Employee Coordination:

  • Coordinate with Boston Tech Collective for new employee computer setups, including computer configuration and email address creation, and offboarding departing employees.
  • Administer Regus/SPACES accounts and SPACE key cards to new staff.
  • Order, distribute, and activate MBTA passes as required.

Technology Subscriptions:

  • Assign and activate new Ring Central phone numbers for employees. If needed, order new phones for staff from Ting.
  • Administer new technology licenses to appropriate staff, including Adobe and ShareFile. Assist employees in signing up for Adobe with their MNWB email addresses.
  • Manage all technological service subscriptions, such as Adobe.

Resource and Inventory Management:

  • Distribute MNWB Inventory Tags and collate relevant information such as photos and serial numbers for inventory purposes, to be forwarded to Pam for record-keeping.
  • Purchasing general office supplies from Amazon and Staples.

 Who We’re Looking For:

  • Experience and comfort utilizing social media applications including Instagram, Facebook, and LinkedIn.
  • Experience utilizing Canva to design program recruitment flyers.
  • Interest and desire to develop video/photo editing skills.
  • Strong organizational skills and attention to detail.
  • Experience planning events and meeting logistics.
  • Experience with managing resources including office supplies and technology subscriptions.
  • Has a deep personal and professional commitment to diversity, equity, inclusion, and belonging.

The most qualified candidates might have experience with:

  • Utilizing MailChimp for email marketing campaigns
  • Developing recruitment strategies for programs
