The Executive Liaison provides timing and status oversight for all Annual Partner, key stakeholder, grant and medical network relationships and responsibilities. This person ensures that all timelines and agreements are met, relationships are strengthened and effective seamless communication occurs with all key stakeholders. The Liaison also works in partnership with the CEO to develop, upload and track grant and significant funding opportunities and must maintain a careful eye to detail and quality in all communication (written and verbal). The Liaison is in regular contact with key stakeholders and therefore must be a person able to embody the culture, vision, personality and purpose of the organization at all times.

Duties specific to the Operations Coordinator role:
· Track and ensure timely and quality driven Annual Partner benefits and requirements
· Prepare reports in partnership with other team members for current and potential stakeholders as needed.
· Track and support medical network stewardship to facilitate growth and engagement.
· Prepare informational news for key stakeholders in partnership with CEO and communication department.
· Provide comprehensive support services to the CEO ensuring outstanding communication and responsiveness
· Maintain quality filing and communications systems including contact management, document management, and archiving
· Conduct research and analysis on issues of interest to the CEO
· Support and manage a high-volume of requests and projects to meet the objectives of the CEO
· Ensure all CEO contacts and stakeholders are entered into Salesforce and included in appropriate email groups
· Prepare and edit correspondence, presentations, reports, and memos
· Support the CEO in strategic communications, organizational strategy, and all other special projects as assigned
· Organize meetings and events for convenings, retreats, various board meetings, and other logistics
· Provide sophisticated calendar management; prioritize inquiries and requests, troubleshoot conflicts with little guidance, make judgments and recommendations to ensure smooth day to-day engagements
· Manage and maintain communication with Board members.
· Participate in meetings with CEO to ensure awareness of activities and support follow through and seamless transitions among internal team members and departments.
· Prepare documents for board to be sent out two weeks in advance of meeting.
· Take minutes of board meetings and send to board for review within three business days of meeting.
· Prepare monthly financial summary for board in partnership with CEO and Director, Business Operations
· Support, assist and complete grant applications in partnership with CEO
· Track and support APP network growth and engagement
· Manage and maintain communications with Ecosystem Advisory Council (EAC)
· Prepare documents for EAC and send out two weeks in advance of meeting
· Prepare minutes of meetings and send to EAC within three business days of meeting.
· Coordinate all logistics and aspects for staff meetings and any meetings and conferences held for medical network community, Board or advisory council meetings and conferences.
· Prepare communications for key stakeholders in partnership with CEO and other team members to ensure key stakeholder groups (Annual Partners, medical network, key community partners) are informed about organizational success, growth and key activities.
MINIMAL QUALIFICATIONS:
· Two years’ experience as an Executive Assistant or similar role
· Associates degree, bachelor’s degree strongly preferred
· Experience in the nonprofit sector or related industry
· Demonstrated writing and analytical skills. Excellent grammar, English and proofreading skills.
· Ability to access a wide range of sources and networks for information
· Good judgment and ability to function independently
· Advanced Microsoft Office skills, with an ability to become skilled in organization-specific software
· Excellent customer service skills with high emotional intelligence
· Exceptional attention to detail, ability to track large amounts of data in an organized efficient manner
· Strong problem solving skills, with an ability to redirect issues and concerns to the appropriate role
· Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
· Exceptional interpersonal skills with an ability to create and develop immediate rapport with the community
· Ability to function in an independent home based office
· Understanding of movement disorders strongly preferred
· Ability to travel up to 20%
