The Director of Finance & Operations (DFO) ensures sound financial planning and management across all aspects and departments of Grace Institute and our collaborative partner, Grace Outreach. A member of the leadership team, the DFO reports to the Executive Director and works directly with the auditor and the Finance and Audit Committee of the Board of Directors for both organizations.

The DFO leads all finance operations for both Grace Institute and Grace Outreach, including functional responsibility over accounting, payroll, insurance/risk management, and administrative contracts management. The DFO oversees the human resources and operations functions for Grace Institute alone. The successful candidate will have experience at building systems for the nonprofit industry, a strategic approach to analyzing and projecting budgets, hands-on experience with the administration of a nonprofit, and will be committed to Grace Institute and Grace Outreach’s mission of moving women forward.

Finance and Accounting Responsibilities for Grace Institute and Grace Outreach:

·       Oversee short- and longer-term strategic financial planning.

·       Perform all accounting functions, including accounts payable, accounts receivable, chart of accounts and general ledger, staff payroll, and ensuring compliance with appropriate GAAP standards and regulatory requirements. 

·       Prepare monthly, quarterly and annual financial reports for the Executive Director and Board Treasurer. Develop financial reports for Board and Committee meetings.

·       Oversee and lead annual budgeting and planning process in conjunction with Executive Director and senior management; administer and review all financial plans and budgets; monitor progress and changes on a monthly basis and communicate this information to senior leadership, identifying variances and developing appropriate action plans.

·       Manage organizational cash flow and forecasting.

·       Maintain existing relationships with vendors, funders and bank. Oversee the annual audit process; coordinate with external auditors and report to the Audit Committee of the Board of Directors. Produce external financial statements.

·       Working with development and program staff, oversee financial planning and management. Oversee the preparation of budgets and financial reports for all grant-funded projects.



Human Resources, Operations and Administrative Responsibilities for Grace Institute 

·       Oversee management of human resources functions such as compensation, recruitment, performance management, personnel policies and procedures.

·       Serve as a link between management and employees by handling questions, interpreting and administering terms of employment and helping resolve work-related problems.

·       Oversee benefits administration; recommend modifications to existing plans plus additional options; negotiate with benefit providers.

·       Provide guidance to managers and staff on all personnel issues that arise; liaise with payroll and benefits vendor and outside counsel, as needed.

·       Negotiate and ensure compliance with all contracts.

·       Review all independent contractor agreements.

·       Ensure recruitment, hiring, training, evaluation and other personnel policies and procedures are being followed consistently and in compliance with the law.

·       Understand and mitigate key elements of Grace Institute risk profile; negotiate and maintain appropriate insurance coverages.

·       Act as principal staff member ensuring Grace Institute’s infrastructure and operational needs are being met, addressing issues related to office space and related resources.

Qualifications

·       Excellent written and verbal communication skills with an ability to translate complex organizational data into clear and simple messages for a wide range of audiences. Meticulous attention to detail.

·       A minimum of 6 years in finance, with at least 3 years in a managerial position; Experience as part of a nonprofit organization's leadership team.

·       Expertise or at minimum familiarity with financial/accounting and database software (e.g. QuickBooks, Excel, SalesForce, Bill.com).

·       At least a Bachelors degree, preferably an advanced degree in a related field.
