Special Assistant to the Executive Director

Position Summary:

Reporting directly to the Executive Director, the Special Assistant’s (“SA”) primary responsibility is to support the Executive Director and ensure efficient, effective, and sustainable systems flow aligned with organizational values and goals. The SA will provide support to the Executive Director in a one-on-one working relationship, entrusted with complex duties and sensitive information, organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The SA must be comfortable operating in a fast-paced, high-profile environment, with the ability to discern and determine priorities based on urgency, strategic impact, and appropriate point of contact within the organization. In the short term, the SA will provide immediate support regarding strategic fundraising initiatives, board relationship management, and training/consultation inquiry support. This position is full-time and remote. Roles and responsibilities include:

Executive Director Support

  • Responsible for a variety of administrative tasks for the Executive Director, including managing an active calendar of appointments; triaging and prioritizing incoming communications and requests, and composing and preparing correspondence.
  • Proactively provides a “buffer” to ensure the Executive Director’s boundaries are honored and their schedule is followed and respected.
  • Represents the Executive Director, when appropriate, and ensures smooth communication with key stakeholders, including the board of directors, staff and trainers, clients, funders, government agencies, program partners, and experts in the field.
  • Provides support to build and maintain strategic relationships.
  • Works closely and effectively with the Executive Director to keep them well-informed of upcoming commitments and responsibilities and executing appropriate follow-up.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Executive Director, including those of a sensitive or confidential nature. Determines appropriate referral or response and makes said recommendations to the Executive Director.

Board Management/Board Liaison

  • Serves as the Executive Director's primary liaison to CRJE’s board of directors.
  • Provides administrative support to key Board of Director functions, including scheduling board meetings, committee meetings, and one-on-ones with the Executive Director.
  • Maintains and distributes the annual calendar of board activities.
  • Fields incoming questions and requests from board members, as needed.
  • Drafts content and creates materials for board meetings and ensures advance distribution of materials beforehand.
  • Supports Executive Director and board of directors with compliance as set forth in bylaws regarding board and board committee matters, as well as other regulatory requirements. Fundraising, Partnerships, and Outreach
  • Responds to requests for marketing and other materials regarding the Executive Director and the organization in general.
  • Proactively supports the Executive Director to cultivate and steward key relationships with CRJE donors and partners, including scheduling meetings, drafting and sending correspondence, keeping ED informed of donor activity and interests, and follow up.
  • Manages communication with potential collaborators/shorter-term partners, including schools, organizations, and other key stakeholders to further the reach and impact of CRJE’s programming.
  • Supports communication with prospective schools, organizations, and other partners—including inquiry calls—to cultivate and acquire contracts.
  • Supports the Executive Director with administrative tasks for grant proposals and reports and internal publications, by gathering data, research, and evaluation information for program-related funding and policy-related activities.

Project Management/Strategic Initiatives

  •  Creates and manages work plans to operationalize the Executive Director’s vision.
  • Manages a variety of special projects for the Executive Director, as needed, including arranging itineraries, creating agendas, and scheduling meetings of stakeholders.
  • Proactively follows through on assigned projects to successful completion.

  • Exceptional verbal and written communication skills for strategic correspondence and marketing content.
  • Emotional intelligence, self-awareness, and attunement to others.
  • Exceptional relationship-building skills and ability to navigate different personalities.
  • Professional discretion, maturity, and ability to maintain confidentiality.
  • Thrives in project and process management.
  • Proactive—adept at anticipating, prioritizing, and meeting conflicting needs.
  • Ability to synthesize complex thoughts and ideas, communicating clearly and cogently.
  • Ability to understand the big picture while maintaining exceptional attention to the details, translating ideas (leadership vision) to implementation (next steps/action items) with limited direction.
  • Excellent time management and organizational skills.
  • 7-10 years of project management, administrative, and/or executive support.
  • Experience supporting executives in fast-paced, complex organizations with multiple key stakeholders strongly desired.

About Center for Racial Justice in Education:

In 2001, Border Crossers was founded to teach students how to “cross borders” with one another to develop understandings to dismantle racism. The work shifted to training educators directly to disrupt racism in their classrooms and beyond and in early 2019, Border Crossers changed its name to the Center for Racial Justice in Education (“CRJE” or “the Center”). The purpose of the change was to intentionally align the core of the organization’s work and to establish itself as a hub that convenes educators to learn and grow.
