About this role

The Operations and Finance Manager will play a key role in growing Plan for Peace and its sister entity Business Plan for Peace during an exciting period of scale up and organisational growth. We are looking for someone who has had extensive experience in the not-for-profit sector in the UK in a similar role, and as a natural problem solver and systems thinker is excited to lay foundations and build and develop our internal systems, policies and processes for our growing team and organisation.

Reporting to the CEO, this position will work 20 hours per week. Plan for Peace provides an employer contributed pension scheme and 28 days holiday (pro rata).


Policy and Systems Development 

  • Contribute to the development of Plan for Peace policies, ensuring that they are in line with UK legislation and best practises of the not-for-profit sector. 
  • Develop operational systems and processes to set up, document and implement policies and procedures, ensuring that what works now sets foundations for future growth.

Finance and Procurement 

  • Oversee procurement of vendors, suppliers, service providers and platforms to support the team with delivery of work in line with Plan for Peace policies.  
  • Work with the team to produce and update Plan for Peace budgets and accounts, and prepare cash flow forecasts on a quarterly basis or as required. 
  • Prepare quarterly financial reports for the board and trustees. 
  • Ensure sufficient records are maintained to show and explain Plan for Peace’s transactions, in order to disclose accurately, the financial position of Plan for Peace at any time.  
  • Managing the budgeting process for annual planning engaging the wider team.
  • Liaise with the independent examiner/auditor to produce the statutory accounts. 
  • Prepare and ensure submission of all statutory returns and payments to the HMRC  including VAT.

Information Technology and Security 

  • Work closely with Plan for Peace’s IT service provider to support the IT requirements for Plan for Peace’s founder and team.  
  • Ensure processes support safety and security of people, data, finances and assets in line with UK laws and regulations.

Human Resources, People and Culture

  • Develop and oversee systems and administrative processes for recruitment and performance management. 
  • Keep abreast of HR legislation in the UK and ensure that Plan for Peace is aligned with HR best practices and diversity and equality.
  • Oversee an external provider for the monthly payroll process, pension and benefits as per Plan for Peace policy.
  • Recommend ongoing training opportunities for the Plan for Peace Team. 

Plan for Peace team support 

  • Prepare and submit  annual filings for the Companies House and Charity Commission.
  • Present financial reports at each trustees meeting giving the board directors and trustees an understanding of Plan for Peace’s overall finances.
  • Provide advice and information to the CEO and board/trustees to support decision making
  • Anticipate needs and support the Plan for Peace founder and team members with travel, event planning, expense claims and support as required. 
  • Document quarterly Board of Directors and Trustee meeting minutes. 
  • Oversee the book selling process of various books sold by Plan for Peace.

Person Specification 

You will be comfortable working independently from home as well as part of a team. You are a pragmatic problem-solver - proactive, resourceful, organised, methodical, a systems thinker with an eye for detail, and confident to engage and build positive working relationships with a range of stakeholders. You are continuously curious and will naturally embed feedback loops to review, learn and adapt policies, systems and processes to meet the needs of our team and stakeholders in line with UK legislation. 

You are self-motivated and find that your personal values align with Plan for Peace’s values, namely: vision - ‘the future belongs to those that can see it; balance - balancing the left and right brain thinking, effectiveness - doing the inner work through reflective practises; power and presence through courageous conversations; remaining light and resourceful in facilitating and catalysing change; and a dedication to ‘walking the talk’ of conflict transformation by modelling innovative new ways to integrate it throughout organisational approaches. You will have: 

  • A minimum of five years working experience in a similar role in operations management. 
  • Previous experience developing, communicating, and implementing policies and procedures for a not-for-profit organisation compliant with UK requirements. 
  • Experience developing and managing multiple projects and engaging with multiple platforms and suppliers. 
  • Practical experience and knowledge of budgeting, cash-flow management, maintaining balance sheets and preparing profit and loss statements.
  • Excellent planning and organisational skills. 
  • Exceptional written and verbal communication skills. 
  • Proven results in maintaining good quality standards on productivity and efficiency. 
  • Ability to work as part of a team yet be self-motivated. 
  • Undergraduate degree in business, management or a related subject. 
  • Technical competence – MS Office Suite proficient (Outlook, Word, Excel, and Powerpoint), Google Suites, Accounting software (preferably Xero), and Zoom.


  • Previous experience in human resources in the UK. 
  • Previous experience working in start-ups.
  • Previous experience/training in conflict transformation. 
  • Experience of CRM systems
