    Office Assistant

    Friendship House is a faith-based non-profit organization located in Hamtramck under

    the umbrella of American Baptist Home Mission Societies that serves as a

    compassionate ministry, strengthening families through community connections and

    offering help with basic human needs to residents, such as food by providing assistance

    in gaining the tools necessary to achieve self-sufficiency.

    Duties and Responsibilities

    Responsible for direct support of the Administrative duties of the Executive Office. The Office

    Assistant partners with the Executive Director and the leadership team to support all

    programmatic and fundraising initiatives. The Office Assistant is expected to independently

    solve problems, manage donor, client, and stakeholder issues, and respond to questions without

    the Executive Director(ED). The Office Assistant will be responsible for clerical/administrative

    support for the ED providing logistical and creative support for special event planning, online

    donor giving, support for correspondence including thank you letters, stewardship letters and

    some small mail campaigns, ordering office supplies, assisting with volunteers, handle simple

    bookkeeping procedures (using QuickBooks) - including working with the payroll company,

    paying bills, recording donations (both cash and in-kind), preparing, and making bank deposits,

    sending monthly financial statements to board treasurer, assisting with the audit. The Office

    Assistant must be comfortable working with data, including data entry into the donor and client

    databases, executing queries, and assisting in evaluating data reports. The Office Assistant (OA)

    will be expected to independently manage writing assignments, including letters, stewardship

    reports, and briefs.

    Essential Duties

    • OA will support internal communications needs, including occasional staff emails, pushing

    out news and information, and promoting various brand communications and social media

    content internally and externally as appropriate.

    • OA will directly support the ED and leadership team with several administrative tasks,

    including managing calendars, scheduling, coordinating meetings, and other ad hoc tasks.

    • OA will help ED manage output, workflow, and office deadlines. Strong ability to follow up

    and ensure action items are completed.

    • OA will proactively establish strong working relationships with colleagues and external

    contacts.

    • As needed, OA will partner with various departments within the organization to assist with

    project-based work as it arises. Any other duties assigned by the supervisor as needed.

    Qualification and Skills

    • Outstanding organizational and time management skills, including being thorough and

    accurate when managing multiple priorities and maintaining exceptional attention to detail.

    • Advanced computer skills and knowledge of Microsoft Office applications, including

    Outlook, Excel, Word, and PowerPoint

    • Working knowledge of Intuit QuickBooks is helpful
    • Ability to thrive and succeed in a growing organization with high expectations of delivery

    and growth

    • Two-five years office administrative experience
    • Minimum high school diploma, associate degree preferred.
