    Job Overview

    The Human Rights Foundation (HRF) seeks to hire a New York-based Event Operations Manager. This person will be responsible for organizing and actioning on large amounts of information that are integral to successful event execution. Key responsibilities include: organizing build plans, overseeing event-related purchasing and shipping, vendor contracting and invoicing and creating event job guides. The Event Operations Manager will report to the Chief Talent Officer and liaise frequently with other departments to ensure information is accurately documented and is actionable.

    Responsibilities and Expectations

    Specific duties include, but may not be limited to:

    • Manage and contribute to production information (location deck, production book, travel tracker, EventsAir) to ensure alignment across teams
    • Manage and coordinate production purchasing process for event materials and direct production coordinators in procurement process, purchasing as needed
    • Managing tracking documents (shipping tracker, packing list, location deck, purchasing request forms) to ensure data integrity and distribution to needed parties
    • Distribute planning documents to relevant parties, including event books, buildout plans, and job guides
    • Work to create job guides and role related documentation including volunteer scheduling on EventsAir
    • Support logistics team in documenting hotel arrangements and ensure that guest needs are properly tracked in an easy to use system (EventsAir or Airtable)
    • Update event management platform (EventsAir) and integrations to other platforms such as salesforce
    • Liaise with the external events team to ensure that all technical needs for events are aligned with programming
    • Contributes to pre and post-event production plans, reports, and documentation related to event operations (transportation plans, speaker flight tracking, site plans, etc.)
    • Ensure that all event materials are inventoried and accounted for after each event
    • Think systematically and build solutions to increase workplace efficiency in various platforms that may include Monday.com, Airtable, and Eventsair

    Qualifications

    • BA in business, management, or related field, from an accredited college or university
    • 3-5 years of event operations or other relevant experience
    • Proven ability to solve problems creatively
    • Proficiency with a wide range of software tools
    • Experience managing large amounts of information into concise, actionable plans
    • Excellent communication skills and comfort managing multiple tasks with an upbeat attitude
    • Must be comfortable performing production-related tasks on-the-ground during Event Days, with ability to lift 25 lbs
    • Live event experience a plus
    • Travel required 10%
