Brooklyn Academy of Music (BAM) is a multi-disciplinary arts center located in Brooklyn, New York. BAM is seeking an Development Operations Coordinator to work in the Development Department.  The selected candidate will be responsible for the day-to-day coding, processing, receipting, and record keeping of gifts pledged or received >$1,500 (plus all non-membership gifts) for the Development Division. Additionally, they assist the department with data entry, donor communications, pulling lists, project management, and general administrative and event support. 

BAM administrative staff are currently working from home. However, we do have plans to re-open BAM’s offices in the Fall. As we re-open BAM’s campus, all BAM staff will be required to show proof of vaccination to enter the buildings.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Codes, processes, receipts, and records contributions >$1,500 (plus all non-membership gifts) for Individual Giving, Major Gifts, and Corporate.
  • Must be familiar with non-profit financial procedures, and able to collaborate with both front-line fundraisers and finance staff members to ensure the accurate and efficient processing of contributions. 
  • Sends daily “money in” email to department, alerting Development staff to gifts received
  • Additional daily duties include checking mail, data review and entry, and extensive record keeping 
  • Ensures accurate information in Tessitura by updating contact information and merging duplicate accounts
  • Steward high-quality, accurate, and consistent data entry by helping to document processes and best-practices for the department, and serving as a resource for Development staff
  • Assist with other finance-related tasks as needed, including: overdue cash collection, telefund gift review, processing of invoices, and expense reports
  • Contact auto-renewal and split-payment donors with failed credit cards on file, to obtain new information
  • Assist with membership receipt/acknowledgement mailings and IDNYC comp membership applications
  • Generate and pull lists for standard development communications
  • Project manage VIP list routings and donor crediting routings for approvals from various Development stakeholders, in collaboration with the Assoc. Dir. of Development Operations 
  • Manage projects for the Development Division as needed
  • Assist in making calls to Members and Patrons as needed
  • Represent Development Department at performances and special events
  • Work Patron Table (VIP ticket pick-up) shifts as requested by Division Head
  • Assist with Member and Patron phone and email coverage as needed

REQUIRED EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES

  • 1-2 years of previous work experience, preferably in a non-profit organization
  • Familiarity with non-profit gift processing and accounting procedures
  • Experience with Microsoft Office Suite (particularly Excel) and Google Docs
  • Proficiency with CRM systems (Tessitura or other fundraising database preferred)
  • Good organization and time management skills
  • Ability to multitask projects with varying deadlines.
  • Great verbal and written communication skills
  • Proficiency with MS Suite
  • Experience using Tessitura (or similar database) helpful
  • Excellent research skills
  • With advance notice ability to work some evenings/weekends
  • Excellent problem-solving and interpersonal skills
  • Ability to work with confidential and sensitive information

  • Interest in the performing arts and cinema
  • Must have the ability to comply with NYC COVID-19 vaccination mandate

Compensation: The salary for this position is $45,588 per year. The role is a Union position, and will be paid in accordance with the BAM/UAW 2110 Collective Bargaining Agreement. This position is full-time non exempt and eligible for benefits.
