The Database Manager is an essential member of SBA’s team, responsible for maintaining the integrity of SBA’s multiple databases (Salesforce, Donor Drive, and Harness). The Database Manager works closely with the Development Director and Chapter Development and Walk team, Finance, Communications, and other program staff across the organization. This is a unique opportunity for an experienced database professional to help guide the organization into using best practices for data and information sharing. This position reports to the Development Director.


RESPONSIBILITIES

• Manage the data entry and processing of all gifts and pledges coming into the organization from multiple sources, including checks, credit cards, EFTs, stock, etc.

• Generate accurate, timely, and appropriately worded acknowledgment letters for all donations and notifications to families for gifts in honor or memory

• Act a liaison for the organization’s monthly giving program, assisting donors with renewing and upgrading gifts, sending out welcome letters, providing annual giving statements, etc. 

• Maintain a strong electronic and paper filing system for all constituents and organizations

• Produce and distribute various reports to staff

• Export and clean mailing lists for SBA’s various fundraising and programmatic activities, assisting with any in-house mailings

• Perform regular data integrity auditing and analysis, making recommendations for streamlining processes and undertaking data clean-up projects

• Work closely with accounting on financial adjustments and reconciliation reports, as well as assist with the organization’s annual audit and any state charitable registration requirements

• Serve as a database administrator and technology expert, providing ongoing training and assistance across the organization on key database functions and resolving issues

• Other duties, as assigned


Data Entry & Hygiene

• Perform routine database updates resulting from returned mail or donor requests to update information

• Maintain constituent relationship records, notes, and event participation 

• Create and run all required imports and exports of constituent-related data

• Set up new events in Donor Drive or campaigns and opportunities in Salesforce or Harness to enable various forms of data entry

• Create a policy guide to establish quality control and to maintain the accuracy of data entry 


Reporting 

• Build queries to export and segment donor-related information from databases

• Gather and analyze statistical data and generate monthly or on-demand reports to support fundraising efforts

• Assist team in setting up dashboards and views to access data in real-time

• Assist with revenue projections and the budget process 


Database Operations 

• Serve as the primary contact for Salesforce and Donor Drive, and other technology vendors

• Stay up to date on best practices, database upgrades, plug-ins, etc.

• Apply creative thinking and strategic planning to all database processes and policy decisions


QUALIFICATIONS

• 3-5 years of experience working with a donor database or other CRM system in a nonprofit environment, including experience with data analytic tools, queries, and reporting. Experience with Salesforce a plus.

• Familiarity with third party fundraising and donation processing systems

• Experience with Donor Drive a plus

• Expertise in Microsoft Word, Excel, and PowerPoint 

• Strong understanding of fundraising operations and accounting principles

• Highly organized and detail-oriented

• Demonstrated ability to multi-task, meet deadlines, work independently (including remotely), and under pressure in a fast-paced environment

• Strong written, interpersonal, and customer relations skills

• Passion for the nonprofit world and a commitment to work with people affected by Spina Bifida


OTHER REQUIREMENTS 

Minimal travel required; 2-3 days per year. This position is located in Arlington, VA (Rosslyn). Due to the COVID-19 pandemic, the position will mainly work from home in 2021 with occasional visits to the physical office.
