Guide Dogs for the Blind, located in beautiful San Rafael, CA, has an incredible opportunity for a Volunteer Program Coordinator. The Canine Welfare / Neonatal (CWN) Volunteer Coordinator will support the CWN Department by acting as a liaison with our Campus Volunteer team to recruit new Volunteers. The CWN Coordinator will provide all initial training and manage the volunteer efforts department wide. This position will work closely with our Campus Volunteer department during organization wide orientations to provide departmental information and overviews of CWN Volunteer roles. Other responsibilities include:
- Represent CWN department at GDB Volunteer Orientations to recruit for specific departmental volunteer opportunities, currently including: Kennel Concierge, Kennel Partners, Videographers, Dog Walkers, Puppy Visit Docents and Brood Socializers.
- Coordinate, schedule and provide training for each of volunteer roles within the CWN department on an as needed basis.
- In coordination with the Campus Volunteer Manager, update and maintain accurate job descriptions for each volunteer role and create job descriptions for newly added roles. Also, in collaboration with the Campus Volunteer Manager, assist with updating departmental printed and Intranet information and manuals.
- Coordinate Volunteer schedules and post current schedules weekly to reflect any and all schedule updates (i.e. switched shifts or time off). Ensure the reporting of accurate volunteer hours to the Campus Volunteer Manager.
- Supervise and monitor the performance of all departmental volunteers. Assess volunteers’ abilities, understanding, and compliance with the program expectations and objectives, redirect as needed, providing clear communication and feedback in a positive manner.
- In conjunction with Canine Welfare/Neonatal Manager and designated CWN staff, develop and write guidelines related to the CWN volunteer opportunities; communicate the rules to volunteers and ensure that guidelines, protocols and policies are being observed. Working with the Campus Volunteer Manager, ensure that standards, recognition, guidelines, protocols and policies are consistent organizationally wide.
- Promote retention of volunteers through recognition, outreach, feedback and communication.
- Assess volunteer understanding of and compliance with both organizational and program expectations and objectives. Provide additional training and assistance if needed.
- Take the lead in resolving conflicts in a timely and sensitive manner and or ask for assistance when necessary. In sensitive situations, coordinate the mediation with or discipline of volunteers with Campus Volunteer Manager.
- Oversee daily communication of information with Volunteers to reflect any and all updates, changes or restrictions within the kennels. Meet frequently with the Campus Volunteer Manager to ensure consistently parallel operations, philosophies, and practices. Provide reports as requested by Campus Volunteer Manager.
- Produce regular e-news and updates regarding protocols, biosecurity and any developments within the department that will affect Volunteer activities.
- Collaborate with CWN staff to conduct regular meeting for each Volunteer group within the department.
- Provide on-going recognition and appreciation events and/or activities for each Volunteer group.
- Coach Volunteers on expected duties and work with appropriate staff to counsel if performance challenges arise. Provide learning opportunities and feedback.
- Perform clerical functions including answering phones, initiating and responding to emails and creating and filing documentation.
- Occasionally works with dogs in the kennels as needed and undertakes other duties as assigned to support GDB.
The ideal candidate will have a minimum 2 years of administrative experience as well as prior experience
coordinating and supervising staff/volunteers. Additional skills & experience include:
- Strong interpersonal skills and ability to build relationships and interact with a wide range of personalities and work styles, both individually and within groups of diverse constituents.
- Self-starter with excellent oral and written communication skills and ability to manage and resolve conflicts in a professional manner. Ability to lead others and work as a member of a team.
- Proficient in Microsoft Office applications, Salesforce experience a plus.
- Strong organizational skills and attention to detail.
- Must safely handle a variety of large breed dogs, weighing up to 90 pounds, with varying strength and manageability. Ability to safely lift up to 40 pounds. Employees are required to seek assistance when lifting dogs or objects weighing more than 40 pounds.
- Schedule requires some weekend work (a minimum of 2 weekends/month) as needed
