Description

The Ethical Culture Society of Bergen County is seeking a Part-time Administrative Director (20 hours per week) for a role that is primarily remote, but which requires weekly visits to the Society building in Teaneck, NJ. The salary is $20,000/year.

The Ethical Culture Society of Bergen County was established over 70 years ago as a non-theistic religious community to serve Bergen County residents seeking involvement in humanist and social justice issues.  Over the years members of the Society have been involved in founding and supporting local organizations that work with racial, social and environmental justice issues in the community.  We are a thriving community of people who want to make a difference to the world.   We serve our adult members through weekly gatherings with speakers and activities to educate them about topics of concern to our community and beyond and numerous social events and opportunities to partake in actions that positively impact our wider community.  We serve our youngest members and family groups through a vibrant STEAM based educational and activity program that meets weekly on Sundays. https://ethicalfocus.org/ 

There is no requirements for living near the Society, however, you need to be able to commute to the office on a nearly weekly basis.

Qualifications 

  • Strong knowledge of bookkeeping practices (non-profit bookkeeping is preferred)
  • Computer literate with knowledge of spreadsheet software and Quickbooks Online
  • Superior communication skills - both written and verbal
  • Great organizational skills and ability to create processes and procedures 
  • Patient and thoughtful when communicating with internal and external stakeholders
  • Understanding of the dynamics of a mostly volunteer based organization
  • A commitment to social, environmental and racial equity ideals

Duties 

The Administrative Director plays a vital role in coordinating all Society activities and communicating event information to the membership along with managing the Society’s administrative functions as follows:

Bookkeeping (65% of duties) 

Utilizing Quickbooks Online to record Accounts Receivables and Payables.  Paying bills, paying speakers, generating reports and budget analysis.  Recording income from building rentals, grants, donations, fundraisers and membership pledges.  Extensive use of either Google Sheets or Excel to create spreadsheets that allow the Society’s governing Board to have a clear understanding of the financial well-being of the Society.  Notifying the IRS of all income and income sources.  Preparing reports for audit and accountant review and filing all necessary returns to the IRS.  

Preparation of Weekly programs (20% of duties)

Creating the weekly program pamphlet to be distributed at the Sunday gathering.  Sending emails and notifications to members and non-members about upcoming events.  Maintain the Society’s Calendar in Google Calendar.  Creating and maintaining Zoom meetings and sending Zoom links out for the varied online and hybrid events that the Society hosts.  Posting information about the Sunday gatherings on external calendars.


The remaining 15% of duties are divided into 3 main categories:

Maintaining Correspondence

Composing and sending emails and letters on behalf of the Society.  Including acknowledgments of donations (including annual pledges) and news about Society events and member updates.  Replying to all mail and email from members and non-members.  Emailing and mailing the Society’s newsletter.  Maintenance of 5 email lists.

Facility Management

Keeping track of all renters in the building (including day care center tenants).  Negotiating and drawing up contracts for all building rentals.  Communicating rental regulations to all renters.  Liaison with the Building Committee, cleaning company, landscaper and handyman to ensure the building is in good working order.  

Society Administration

Work closely with the Leader of the Society on programmatic, financial, grants, and membership issues.  Act as a central point of contact for committees and the Program Council to coordinate member activities in the Society.  Where necessary chair Program Council meetings (virtual).  Set up meetings and add them to Zoom and the Society Calendar.  Assist in setting up Summer Gathering events.
