Description

Position Description 

The Director of Operations will work closely with the Executive Director in the overall management of the programs and staff of Catholic Climate Covenant. The Director of Operations has primary responsibility for the daily administration of the Covenant’s office, fostering a work environment that engenders positive energy, creativity, and teamwork among the staff. The Director of Operations will also be the primary administrator of the Covenant’s Salesforce database and all accompanying integrations. The Director of Operations reports to the Executive Director. 

 

General Responsibilities 


Database Administration 

  • Support staff adoption of Salesforce and accompanying integrations (Pardot, FormAssembly, and Phone2Action) to accurately track data on supporters, programs, and grants   
  • Maintain the completeness and accuracy of all data entered into Salesforce and accompanying integrations, including by supervising staff members and interns who interact with the database when necessary  
  • Assist staff members with Salesforce-related tasks and troubleshoot as needed 


Staff, Partner, and Board of Directors Support 

  • In collaboration with the Executive Director, develop agendas and documentation for staff, Steering Committee, and Board of Director meetings 
  • Serve as minute taker and distributer of information to staff, Steering Committee, and Board of Directors 
  • Lead weekly staff meeting 
  • With Executive Director, continue to refine and implement standard operating procedures for organization  
  • Maintain employee benefits package 


Project Management 

  • Manage organizational calendar on Microsoft Outlook 
  • Maintain rigorous electronic filing system for organization on Sharepoint 
  • Manage project timelines, including tracking project contributions from all staff 
  • Supervision of Administrative Staff and Interns 
  • Supervise administrative staff 
  • Supervise interns and other volunteers, with the assistance of other staff as needed 
  • Establish and maintain relationships with institutions who partner with the Covenant to place interns 


Development 

  • Manage grant reporting calendar, including seeking and collating submissions from multiple staff members 
  • Develop and maintain accurate records on the following in Salesforce: 
  • Grant-related information, including information on foundation cultivation, grants received, and when reports are due to granters 
  • Major donor cultivation 
  • Fundraising and appeals  
  • Assist staff with implementation of development plan as needed 


Accounting  

  • Collaborate with Accountant to maintain accurate financial records and secure documentation for organization’s annual audit and 990 filing   
  • Oversee Administrative Assistant’s processing of checks, invoices, donations, and staff reimbursements 
  • Keep Executive Director informed of organization’s financial status through monthly reports on income and expense totals, by program
