The Executive Assistant provides administrative assistance to the Senior Vice President (SVP) of Philanthropy as well as the Director of Major Gifts Acquisition. requiring extensive exercise of independent judgment. The role will also include performing various duties as necessary to support members of the Next Generation team. The position requires that the Executive Assistant maintain a high level of professionalism, communication, and confidentiality in interactions with staff, outside agencies, volunteer leadership and major donors requiring discretion, judgment, tact and diplomacy.

 

ESSENTIAL FUNCTIONS:

 

·     Provides administrative support to the SVP of Philanthropy and as well as the Director of Major Gifts Acquisition, including correspondence with external constituents, handling event and meeting logistics, completing expense reports, recognizing action items within donor correspondence and entering it into the database, calendar management, and volunteer and donor phone contact.

·     Manages both solicitation preparation and follow-up steps for donors assigned to CJP CEO & President, SVP of Philanthropy and select volunteers.

·     Coordinates and schedules meetings and events, manages various projects and proposals, and performs other tasks as needed.

·     Provides administrative and operational support for discreet initiatives within the Development department. Supports Donor Relations team to coordinate and prepare donor letters, proposals and reports.

·     Prepares and updates briefings for CEO & President’s, SVP’s and select volunteers’ donor visits.

·     Performs triage in the Development department; referring matters to appropriate parties for action, following up to ensure proper execution.

·     Performs light accounting in order to track and organize donor investments and intentions; and prepares expense reports for SVP and Director of Major Gifts Acquistion.

·     Collaborates with Executive Assistant to the CEO & President to coordinate meetings and solicitation needs.

·     Manages Development department’s intranet page.

·     Performs administrative duties of a highly confidential nature.

·     Maintains accurate and complete files and records.

·     Arranges meetings, conferences and travel schedules.

·     Performs special projects as requested.

·     Creates and manages groups, reports, exports and lists using the Blackbaud database.

·     Other duties as assigned with or without accommodation.

 

MINIMUM REQUIREMENTS:

Education:

·     BA or equivalent

Experience:

·     3-5 years of administrative assistant experience or equivalent, with experience performing independent projects

·     Experience working in a non-profit development/fundraising department preferred

Skills/Competencies:

·     Proficiency in Microsoft Office Suite, including Microsoft Outlook, Word, PowerPoint, Excel and Databases

·     Project management skills with proficiency in managing projects that require input from multiple people and resources with short turnaround time

·     Desire to work in a fast paced, customer focused, entrepreneurial environment

·     Ability to work on independent projects, manage multiple priorities and meet deadlines

·     Ability to exercise initiative and sound judgment and to respond resourcefully under varying conditions

·     Effective interpersonal skills, verbal and written communication skills

·     Commitment to donor service

·     Ability to maintain confidentiality

·     Exceptional aptitude for detail and commitment to accuracy and follow through

·     Ability to author and accurately proofread documents and correspondence

·     Ability to be flexible and adaptable to changes and shifting priorities

Other:

·     Understanding of the Boston Jewish community preferred

·     Occasional availability for early morning or evening meetings
