This is an exciting opportunity for a motivated, highly organized individual to support the needs of organizational initiatives. The ideal candidate excels at managing multiple priorities while proactively forecasting needs and taking initiative. The operations assistant is a natural problem solver, extremely organized and detail-oriented, and has excellent communication skills.

Key Functions

  • Ensure a comfortable, clean, and well organized office space
  • Responsible for daily reception needs
  • Provide operational support for administrative, technology, and governance-related tasks

Reception

  • Greet and direct visitors
  • Assist with registration for in-house events as needed
  • Screen and direct organization’s general email and main phone line
  • Process incoming and outgoing mail and deliveries
  • Maintain organization’s calendar
  • Coordinate scheduling and execution of staff meetings and events

Administrative

  • Serve as principle liaison with building management and outside vendors
  • Remain alert to issues of office security and safety
  • Ensure stock of programmatic, office, and pantry supplies
  • Maintain organization of supplies, equipment, and administrative files
  • Process petty cash, administrative bills, incoming contributions and payments
  • Provide administrative and clerical support as needed

Operations

  • Update and maintain organization’s online wiki of office policies
  • Assist with new staff and intern on-boarding and off-boarding
  • Assist in developing written protocols for office standards including organization, methods and procedures for administrative support systems
  • Manage all office subscriptions

Member and Board Relations

  • Compile member nominee list for bi-annual elections
  • Send invitations to new members, track responses
  • Update member database with new member information and maintain member biographical files
  • Assist in planning for annual governance meetings; coordinate A/V needs and conference services
  • Assist in coordination and distribution of materials for governance meetings
  • Send notifications and reminders of meetings
  • Track conflict of interest policy confirmations
  • Send thank-you notes to donors and hosts
  • Serve as note-taker and prepare initial draft of meeting minutes

Benefits
