The Homeless Children’s Playtime Project seeks a Database and Development Coordinator to manage the infrastructure that supports our fundraising and donor outreach efforts to help us achieve our ambitious fundraising goals as we enter a period of program expansion. This position will maintain our Salesforce database by setting standards for data entry and ensuring the integrity and accuracy of all data. In addition to managing the database, they will support the overall activities of the Development Department, including processing gifts, production of timely donor acknowledgements, generating reports, prospect research, communications, stewardship, event coordination, and other tasks as requested. This position reports to the Development Director.

Responsibilities: Data Management (45%)

  • As Salesforce Administrator for the organization, this position is responsible for ensuring data integrity and proper training for all new Salesforce users, as well as managing the contract with Salesforce consultant
  • Receive and process all monetary pledges, gifts, and contributions in Salesforce
  • Prepare, track, print, and mail all acknowledgement letters; Ensure the timely mailing of appropriate acknowledgements and tax reporting information
  • Provide timely financial reports to Development Director, Executive Director, and Board on fundraising progress
  • Work with the Finance Manager to complete quarterly financial reconciliations
  • Maintain the donor management software (Click & Pledge), perform necessary updates and respond to any technical errors
  • Manage employee giving portals to ensure timely data entry in Salesforce and appropriate acknowledgements

Event Planning & Individual Funder Engagement (30%)

  • Oversee the implementation of Peer-to-Peer fundraising platforms, including but not limited to: managing the platform (CauseVox), responding to inquiries, uploading gift information into Salesforce, creating new campaigns, collaborating with Communications on marketing strategies
  • Provide event support with tasks including, but not limited to: managing registration, printing nametags, event set-up and clean up
  • Maintain clean mailing lists in Salesforce by performing quarterly updates and support development mailings for quarterly print newsletters and annual holiday appeal
  • Conduct fundraising and prospect research for Development Director and Executive Director to support effective solicitation of current and potential donors

Administrative Support (25%)

  • Support activities required to prepare, submit, and manage grant proposals to private foundation and corporate sources including, but not limited to: generating list of funding sources, maintaining board lists, preparing grant budgets, maintaining grants calendar, tracking grants program in Salesforce, collecting program outputs and outcomes for grant reporting and compliance
  • Manage and respond to all general inquiry emails regarding donations and fundraising in a professional and timely manner
  • Perform general administrative assistance tasks and activities, including copying, filing, preparing check requests and expense reports, arranging meetings, taking minutes, and editing & proofing
  • Assist with other duties as assigned to support special projects, fundraising events, other strategic fundraising initiatives, and all other mission-related activities
  • Other duties as assigned


  • Bachelor’s degree or equivalent experience
  • Must be a U.S. citizen, U.S. national, or lawful permanent resident
  • 2-4 years of experience in fundraising database management and administration (Salesforce strongly preferred)
  • Strong computer proficiency, including Microsoft Office365, Adobe Cloud, and CRM databases 
  • Proficient with Excel (including creating charts, graphs, and reports) 
  • Impeccably organized, with meticulous attention to detail
  • Exceptional project management skills, including designing, implementing, and tracking multiple campaigns and programs
  • Flexible; able to manage multiple priorities simultaneously and experience working in deadline-driven environments
  • Takes initiative and thinks strategically and analytically
  • Strong interpersonal, verbal and written communication and customer service skills
