If you are looking for a rewarding, hands-on opportunity in the nonprofit sector, we are looking for mission focused professional who are ready to work with purpose and make a positive impact on the lives of local West Virginian youth. Seated in the Operations Department, the Operations and Human Resources (HR) Coordinator will assist driving the daily operations and human resources functions to ensure they run smoothly, effectively, and safely. 

ESSENTIAL JOB DUTIES:

HR FUNCTIONS - 50%

  • Help drive an effective, consistent recruiting process that successfully recruits, interviews, and facilitates the hiring of qualified and diversified job applicants for open positions; collaborates with department hiring managers to understand skills and competencies required for openings
  • Conducts or acquires background checks and employee eligibility verifications
  • Implement and facilitate new hire orientation and employee recognition programs, so employees feel equipped, supported, and connected to our mission and culture
  • Implement and manage a consistent onboarding process for consultants and contractors
  • Drive an effective, consistent off-boarding process for separating employees
  • Able to understand and answer questions regarding FWW policies and the employee handbook
  • Lead quarterly updates of the employee handbook 
  • Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law
  • Gather and analyze data with useful HR metrics, like time to hire and employee turnover rates
  • Oversee creation and maintenance of a well-organized employee file system from applicant to separation
  • Build an open line of communication with employees to build trust, boost morale, and promote healthy workplace relationships
  • Accurately maintain organization-wide leave tracker
  • Coordinate monthly employee birthday celebration communication and gift card distribution
  • Seek out, coordinate, and maintain employee training requirements (WV Food Handlers Licenses, Stop the Bleed Certification)

ADMINISTRATIVE FUNCTIONS - 20%

  • Promptly answer questions from staff so that they feel welcomed to ask questions and know that Operations will help them resolve their issue or questions correctly
  • Answer phone calls in a professional manner, providing answers when possible and transferring calls or taking messages when needed 
  • Maintain inventory of office supplies and staff uniforms
  • Ensure the Operations Department’s purchase receipts are submitted to the Finance Department accurately and timely 
  • Oversee donation requests and ensure all donations are completed, ready to go, and all items are accounted for
  • Oversee the Operations’ calendar, upkeep dates, invites, and communicate calendar changes to ensure no deadlines or due dates are missed
  • Maintain Operations’ staff work calendar
  • Clearly and concisely communicates organization-wide updates and policy revisions 
  • Assist with planning fun and engaging all staff events

TECHNOLOGY FUNCTIONS - 20%

  • Work closely with the Technology Consultant to strategically prioritize the organization’s IT needs and services
  • Maintain the organization's radio system and be the point person for troubleshooting
  • Maintain the organization’s phone system function and be the point of contact with Ring-u 
  • Handle organization-wide voicemail, department voicemails, and the virtual receptionist
  • Add phone lines, purchase equipment, and configure phones to the internet connection 
  • Recommend purchases of new equipment and facilitate equipment deployment to ensure users know how to use confident use the equipment issued
  • Maintain the organization’s technology equipment inventory equipment
  • Maintain an inventory of all the organization's electronic assets 
  • Troubleshoot system and user issues in a timely and professional manner, when possible and engage the Technology Consultant when needed 
  • Coordinate monthly organization-wide system updates with clear and consistent notifications

SPECIAL PROJECTS - 10%

  • Any other task or activity required to ensure the smooth operation of the organization and its enterprises or special special projects and requests as needed and assigned.

Medical Insurance: FWW offers full time employees three plan options with United All Saves after the completion of their first 90 days of employment. FWW covers 100% of your employee premium and 50% of your dependent’s premium based on the value of the Base Plan.
