Summary/Objective

The Project Coordinator serves as a key component of the Operations team at Ronald McDonald House New York (RMH-NY) to ensure optimal facility and operations efficiency including special projects and events. This position reports to the Director of Operations.


Role/Responsibilities


Essential Functions

  • Support the facility (maintenance, housekeeping) and operations (front desk, guest services) teams efficiency: assess current systems, standardize processes, support staff onboarding, and training on tools and equipment, work closely with the Director of Operations to proactively drive clear guidelines and internal communication for the team
  • Maintain and monitor project plans, project schedules, work hours, budgets and expenditures in partnership with Director of Operations, Operations Managers and others related to specific projects (example projects: Preventative Maintenance plans from the Building Engineer, internal communication activities from the Communications team)
  • Provide administrative support to determine or track logistics needed for execution of project strategies and changes; supporting the team to ensure action steps are clear and deliverables are met
  • Identify new opportunities within technology that could be incorporated into the department to leverage better efficiencies
  • Ensure stakeholder (e.g. families or staff) views are managed towards the best solution for implementing new tasks or procedures; i.e., collecting feedback, data, and or surveys from focus groups
  • Support numerous projects and events where standing for extended periods of time and lifting/pushing/pulling/carrying/moving heavy materials is required


Responsibilities:

  • Providing administrative support to the Director of Operations and other team members as needed; serve as back-up support at the Front Desk/Reception
  • Organize, attend or participate in stakeholder meetings; take meeting notes, prepare presentation materials and track deliverables/take-aways/to-do lists
  • Document and follow-up on important actions and decisions from meetings
  • Maintain records and ensure all standard operating procedures (SOP) are documented
  • Work with management to create project road maps and effectively communicate project details to team members where appropriate
  • Schedule and facilitate meetings where appropriate. Record and distribute minutes to all project team members when requested
  • Create a project management calendar for fulfilling each goal and objective
  • Identify and communicate areas of project risks and ensuring project deadlines are met; provide solutions where applicable
  • Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project
  • Collaborate with Operations Management team and various departments to support with special projects, strategic planning, and organization initiatives; work to drive impact and value
  • Undertake project tasks and update Operations Handbook as required to ensure current procedures comply
  • Be attentive and observant of all parts of the facility and operations to ensure a safe and secure environment for all staff and guests; report violations or concerns in a timely fashion
  • Serve as a resource for staff, families, guests, volunteers, donors and other community members

Qualifications & Competencies

  • High School Diploma or equivalent required;  Bachelor’s degree preferred with a focus on Business Administration, Healthcare, Communications, Hospitality, or related field
  • At least 3 years of professional experience in a related field: Nonprofit, Healthcare, Facility Management, Administrative Assistant, Logistics, or Hospitality
  • Demonstrated and strong organizational and administrative skills, including managing multiple deadlines and project management
  • Demonstrated proficiency with Microsoft Office (Excel/Word/PowerPoint/Outlook) required; experience with project management tools/templates (e.g. Planner/Gantt Charts) or additional software, data management or design platforms like Adobe Creative Suite a plus
  • Excellent written, verbal, presentation and communication skills are a must
  • Ability to work independently, make decisions, problem solve, and adhere to priorities while working in a fast-paced, multi-tasking environment
  • Must be able to collaborate and participate as a flexible, responsive team member; ability communicate and contribute ideas and data analysis to support team decisions preferred
  • Demonstrated ability to effectively listen, evaluate and react to key members, stakeholders, providers and internal/external personnel or guests; supportive demeanor able to manage diverse relationships
  • Positive, respectful and hospitable interpersonal skills; ability to remain professional yet compassionate when interacting with families in crisis; resourceful, attentive, intuitive, and observant
  • Ability to work nights, weekends and holidays
  • Knowledge of additional language(s) a plus 
  • Must be able to work onsite full-time (little to no opportunities to work remotely)
