SUMMARY: The Individual Donor Assistant performs a variety of operational tasks for the UFW Foundation’s Development Team. The Individual Donor Assistant will play an important role as the primary contact for individual donors who have questions about the logistics of donating to the UFW Foundation. This person will be responsible for responding to questions from donors, donations-related data entry, and various administrative tasks. The Individual Donor Assistant will report to either the Development and Membership Coordinator or the Development Deputy Director.

ESSENTIAL DUTIES AND RESPONSIBILITIES (This list is not exhaustive):

  • Acknowledge individual donations in a timely manner.
  • Assemble and distribute packages for donors and supporters.
  • Assist in prospect research and donor prospect management.
  • Assist the Development team in their efforts to effectively cultivate donor relationships.
  • Assist with fundraising events.
  • Create accurate lists for direct mail, email, and social media campaigns. Monitor results and produce reports for each campaign.
  • Create fundraising reports to track giving levels, renewal rates, recurring gifts, and other key metrics for donor analysis.
  • Directly respond to donor inquiries and address concerns via phone, email, or letter, including problems with checks, credit cards, EFT and stock gifts.
  • Generate queries and reports as requested.
  • Identify and analyze potential donor information and trends using SYSTEM.
  • In coordination with the Development team, maintain the integrity of the Development files and records. This includes ensuring that established protocols for entering, maintaining and changing information are followed across the team. Also includes identifying, proposing, and executing methods for optimal database management and record keeping.
  • Perform data entry.
  • Provide miscellaneous administrative support for Development team, potentially including note-taking, scheduling, and making travel arrangements. Perform additional ad hoc office duties.
  • Respond to all donor emails.
  • Track donation amounts and donor information in SYSTEM.
  • Troubleshoot problems, improve overall processes, and meet deadlines during periods of heavy gift volume.
  • Work closely with the Grants and Donor Development Manager to execute donor recognition plans, including the planning of donor receptions (virtual or in-person).
  • Work on special projects as needed and assigned.
  • Other duties as assigned.

 SUPERVISORY RESPONSIBILITIES: 

  • May involve the coordination and supervision of volunteers/interns as needed.

MINIMUM REQUIREMENTS AND/OR QUALIFICATIONS:

The ideal candidate for this position must have a high level of professionalism and organization. The candidate must demonstrate competency in the following areas:

  • Advanced word processing skills and proficiency in the Microsoft Office suite programs and Acumatica.
  • Collaboration. Ability to work with teammates in a professional and solutions-oriented manner. 
  • Dedication to Mission. A genuine interest in immigrant and farm worker rights.
  • Must be proficient in basic software – MS Office Excellent oral and written communication skills
  • Flexibility, Speed, and Precision. Ability to adjust quickly to constantly changing priorities with speed, precision, and accuracy.

PREFERRED REQUIREMENTS AND/OR QUALIFICATIONS:

  • Experience with fundraising digital tools and social media e.g., Facebook, twitter
  • Bilingual in Spanish and English.
  • Background working for nonprofit organization. 
  • Experience in membership and/or individual donor coordination.

  • None.

EDUCATION and/or EXPERIENCE 

Two (2) years of college level education or two (2) years of experience in nonprofit development, fundraising, marketing, or a related field. 

CERTIFICATES, LICENSES, REGISTRATIONS 

  • Must be familiar with computer programs such as Microsoft Word, Access, Excel, etc. Requires a valid Class “C” Driver’s license.
