This position is based partly out of the home of Ambassador Swanee Hunt. Swanee utilizes her home as an office, and a few staff (personal and professional) work from that space. Though the space is utilized as an office, it is her home. The individual filling this position needs to feel comfortable working out of and be respectful of the environment. Swanee has two animals, a cat and a bird, and they are often a part of the day to day work space.


Position Overview
The primary goal of the managing director position is to help Swanee be most effective in all aspects of her work and life, and to serve as general problem-solver for her and those around her. The Managing Director will collaborate with Swanee and other members of staff as appropriate, on big picture planning and implementation and will assign solutions to staff in any part of the organization. A primary responsibility is to keep many trains on track.

Responsibilities

Swanee Support

•         Together with Swanee, prioritize both short and long-term goals and projects. Think ahead to plan next steps. Be mindful of overall picture, Swanee’s place, and her needs

•         Handle sensitive situations outside the scope of other managers

•         Troubleshoot and pay attention to the daily needs of the organization, making room for the leaders of the organization to lead

•         Ensure smooth and efficient coordination and integration of Swanee’s worlds (program, personal, professional); troubleshoot as required

•         Together with managers, help Swanee puzzle through and solve problems creatively and effectively

•         Serve as dedicated right-hand and confidante with goal of supporting Swanee and allowing her to function at her most effective and efficient level

•         Perform other duties as assigned 


Communication Support

•         Support internal and external communications (working with key staff)

•         Ensure smooth and efficient coordination and integration of Swanee’s worlds (program, personal, professional); troubleshoot as required

•         Facilitate communications within and among the entities

•         Directly handle matters on behalf of Swanee or delegate to appropriate staff

•         Perform other duties as assigned 


Administrative Support

•         Support Swanee and Vice President of Finance and Operations on personal and foundation finance

•         Accompany Swanee to meetings as appropriate; observe, contribute, notate, and follow up on her behalf

•         Manage cost center budget, expenses/purchases, and expense reports charged to cost center

•         Ensure end-of-day documents are completed

•         Oversee updating and maintaining team procedures manual; disseminate new and/or updated procedures to staff


Partnership Support

•         Support Swanee in cultivating high-level relationships by reaching out on her behalf, facilitating communications, attending meetings with and/or for her, and thinking ahead to next steps; the goals are to help Swanee be a more effective agent with Harvard connections, political figures, and other key allies

•         Perform other duties as assigned


Management Support

  • Manage Swanee’s direct personal and administrative support team
  • Represent the needs of the team within the organization
  • Work with senior leadership as needed to address team-related projects and management
  • Coordinate efforts of the team, such as delegating tasks as appropriate and re-allocating tasks based on workload
  • Ensure administrative and personal staff operations and events are functioning smoothly on a daily and seasonal basis
  • Empower and educate the team to problem solve creatively and independently
  • Mentor team and provide team-building opportunities
  • Cross-train staff to ensure coverage in other team members' absences
  • Lead all-staff training workshops and one-on-one orientation for new staff about team procedures
  • Work with HR for recruitment, hiring, and on-boarding
  • Perform other duties as assigned



Qualifications

•         5+ years of management experience, including strong experience in training staff and building teams

•         Experience staffing a principal or being the primary aide-de-camp to an important individual or principal

•         Discretion and ability to build trust and maintain strict confidentiality 

•         Project management experience

•         Exceptional listening ability, in order to discern, identify, and address underlying issues

•         Ability to understand the organization’s sensitivities and team members; ability to navigate to help make it all work

•         Exceptional organizational, interpersonal, and communication skills

•         Ability to prioritize, re-prioritize, and attend to multiple assignments

•         Meticulous attention to detail, ability to follow up on multiple tasks, and link disparate elements 

•         Ability to thrive in a fast-paced environment and work closely with multiple staff members

•         Strong writing skills; pleasant and diplomatic telephone manners

•         Positive attitude and good judgment 

•         Willingness and ability to work long and irregular hours as needed to get the job done

•         Sense of humor; ability to defuse stressful situations, mediate conflict, and push through to positive resolutions 

•         Fluency with Microsoft Office Suite; Internet skills

•         Ability and willingness to see beyond job descriptions, recognize needs, and execute tasks as necessary

Salary

$120,000 - $150,000

Benefits

Compensation will be commensurate with experience. Employee benefits include medical, dental, and vision insurance, life, ADD, and short- and long-term disability plans. The organization provides a 401(k) plan and matches 100% of the first six percent of an employee’s annual salary that she/he contributes to her/his plan. Swanee Hunt Alternatives offers 28 days of paid time off per year. This includes all holidays, vacation days, and personal days. Swanee Hunt Alternatives also offers 5 paid sick days per calendar year. Other benefits include parental leave, flexible healthcare and dependent care spending accounts, and professional development.
