Position Summary:

The Administration Associate will be the first point of contact between the general public and TBP, ensuring that all inquiries are responded with care, sensitivity and professionalism. The Administrative Associate will also provide internal support to the organization, interfacing with everyone from senior leadership to staff across the nation to provide office and inventory support as well as scheduling and clerical assistance. This position will report to the Office and Hiring Coordinator, and will work closely with the HR and Office Manager and the Chief of Staff.

Responsibilities:  

Email and Voicemail Management

  • Act as the organization’s main liaison to the general public by screening, responding to or forwarding all emails and voicemails sent to TBP’s main inbox, website and phone line in a timely, thoughtful and professional manner
  • Review and forward requests for bail assistance from the main inbox, voicemail box and TBP’s website forms to site staff across the country
  • Manage the administration of the inbox and phone line, including managing security and passwords, working with web developer to ensure website integration, and updating messages and auto-replies as necessary


Office Support

  • Support mailing and inventory specific to the Marina del Rey office including checking Post Office Box and sending mail to appropriate locations, mailing promotional items and materials to new hires, existing sites and donors/partners as needed, tracking Marina del Rey Office Inventory/Snacks
  • Support ordering materials for, business cards, hardcopy training materials, promotional materials, and other items as needed.
  • Maintain organizational documents such as the contact sheets, organizational reporting and/or meeting agendas and minutes
  • Provide other support to the Office and HR Department as needed


Scheduling and Clerical Support

  • Provide scheduling and calendaring support for CEO and designated staff as needed
  • Coordinate travel arrangements for CEO and designated staff as needed, including tracking expenses
  • Assist in arranging the logistics of conferences, convenings, board meetings, etc. 
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

You are driven, highly organized and have a deep commitment to The Bail Project’s mission. We’re looking for a creative and passionate individual who thrives under pressure and is comfortable working independently or in a team-based setting. A sense of humor and willingness to adapt to the change inherent to a rapidly scaling startup are essential.

  • Excellent organizational and critical-thinking skills with superior attention to detail, follow-through and the ability to manage multiple projects while meeting tight deadlines  
  • Excellent written and oral communication skills, including the ability to speak comfortably and thoughtfully with diverse populations
  • Excellent interpersonal skills and the ability to work under pressure while maintaining tact and professionalism
  • Willingness to handle any task, no matter how small
  • A basic understanding of, and the ability to quickly learn, software and hardware systems
  • Strong belief and commitment to social justice
