Position Description

The Staff Accountant plays a critical role in the functioning of the Organization. This position is primarily responsible for processing all payments to vendors and consultants who provide goods and services to the Organization. This position ensures that invoices are accurately processed on a timely basis. It requires a working knowledge of GAAP as applied to nonprofit accounting and a working knowledge of fund accounting software. The Staff Accountant has considerable contact with personnel at all levels of the Organization as well as external parties. This position reports directly to Clients administrators and will periodically be assigned duties by Accounting Solutions Of New York, Inc. This position requires heavy travel.

Essential Job Functions

  • Review invoices, packing slips, etc., for accuracy and reasonableness
  • Prepare voucher packages with appropriate supporting documentation, approvals and correct accounting codes before processing
  • Accurately process accounts payable invoices on a timely basis
  • Reconcile and enter business credit card expenses into accounting system
  • Respond to vendor inquiries; investigate and resolve vendor billing discrepancies as they arise; reconcile vendor statements to invoices paid
  • Maintain vendor data and vendor files to include voucher packages, contracts and IRS Form W-9 and other pertinent documentation
  • Assist with basic Human Resources tasks (e.g., enrolling staff in fringe benefits plans)
  • Maintain archiving system for vendors and HR files
  • Assist in the preparation for the annual fiscal audit and other administrative audit tasks
  • Generate IRS Form 1099 - MISC for independent contractors at calendar year-end
  • Prepare monthly bank reconciliations.
  • Assist with ad-hoc reports and special projects as assigned

Education and Certification

  • Bachelors degree in Accounting or Finance
  • 1-2 years accounting experience, not-for-profit experience preferred

Special Skills and Knowledge

  • Strong administrative, organizational and interpersonal skills; great attention to detail
  • Strong oral and written communication skills
  • Working knowledge of Microsoft Office, QuickBooks, and other accounting software.
  • Working knowledge of Payroll Management Software (ADP, Paychex, or similar)
  • Excellent judgment and a high level of professionalism and discretion, especially when handling sensitive and/or confidential information
  • Strong commitment to excellence and ability to work in a fast-paced environment
