POSITION PURPOSE


The Program Associate is responsible for providing organizational and operational support for Vice President for Leadership Development, as well as daily administrative tasks including scheduling, document preparation and general office administration within the department. Additionally, this person will assist with special projects associated with Corporate Partnership initiatives. No positions report directly to the Program Associate position. 


FUNCTIONS AND RESPONSIBILITIES


Leadership Development Support


• Manages calendar of the vice president and coordinates meetings of the following presidential advisory committees: Professional Development Committee, Annual Meeting Program Advisory Committee, and the Leadership Development Coordinating Council

• Prepares and distributes documents to support committee meetings

• Coordinates division staff meetings and develops notes for follow up items

• Drafts correspondence for vice president’s signature and completes electronic and print mailings to members or other constituent groups

• Serves as the liaison between the Leadership Development division, the Communications Office, and the Office of the President for documents, promotional materials, and calendar requests


• Completes travel arrangements for vice president and program consultants as necessary

• Manages internal accounting procedures for the vice president; including check requests, the VP’s Visa Statement and other accounting forms to pay vendors, speakers, consultants, program faculty and other financial obligations of the division 

• Prepares documents and materials to support the Vice President for Leadership Development at the AASCU Annual Meeting, Summer Council and other meetings and programs as necessary

• Provides support for the Committee on Professional Development (CPDV) to include coordinating teleconferences and meetings of CPDV and prepare and distribute documents to support committee meetings 

• Maintain updated leadership development content on the AASCU website 


Corporate Partnership support

• Reviews and helps disseminate program evaluations for corporate sponsored sessions, in conjunction with the Director.

• Monitors key project milestones, deadlines and deliverables

• Schedules select project kick-off and check-in meetings with corporate partners

• Reviews, formats and edits corporate partner proposals and contracts

• Provides onsite support for corporate partnership meetings and events at AASCU's Annual Meeting, Summer Council Meeting and others as needed.


Additional Duties:

• Assists with special projects, as requested by the Vice President of Leadership Development

• Serve as back up on the phones for the Office of the President 

• Other duties as assigned


QUALIFICATIONS

Required:

• Bachelor’s Degree or equivalent combination of education and relevant experience

• 3– 5 years of experience in supporting a senior executive in a fast-paced work environment

• Excellent written and oral communication skills

• Strong interpersonal skills and ability to work well as part of a team

• Self-motivated with the ability to multi-task competing projects and priorities and work independently

• Attention to detail

• Proficiency with the Microsoft Office Suite (Outlook, Word, Excel, Access, PowerPoint) and working knowledge of content management systems

• Some travel required


Preferred:

• Familiarity with a variety of software programs including iMIS database, Magnet Mail, and Ektron web development, and clarity soft software a plus

• Proofreading and editing experience
