Key Functions

  • Contribute to the development and implementation of systems to operationalize the organization’s programming and initiatives; and to optimize efficiency
  • Coordinate with operations team to establish and execute protocols for program processes
  • Provide operational support for initiatives across the organization

Program Operations

  • Provide operational and logistical support for a variety of programs and organization initiatives
  • Leverage tools and knowledge of institutional requirements to ensure effective program implementation including, but not limited to, key initiatives such as:
  • Public Education Programs
  • Large Events – gala/senior leader events
  • CHINA Town Hall
  • Assist in developing and maintaining registrations, applications and other related systems for programs and/or events
  • Assist with crafting email templates, forms, and other program materials as needed
  • Coordinate with operations and program teams for onsite logistics during public programs, events and meetings as required
  • Assist in the evaluation and refinement of program processes to optimize efficiency and ensure overall program success
  • Collaborate with program operations manager as well as cross-functional teams to evaluate and refine operational processes and flows for programs and other organizational initiatives
  • Aid in the development and implementation of CRM and other tools for existing and new programs and initiatives; help ensure project lifecycles and implementation timelines are met
  • Assist program teams with maintaining program contacts and other information in Salesforce as needed
  • Develop charts, diagrams, workflows, and other documentation/visualizations for existing and future program processes
  • Prepare reports on program performance and engagement metrics

General Operations

  • Coordinate with operations staff to set and maintain documentation of protocols for office standards including organization, methods and procedures for organizational tools and systems
  • Assist in the training and onboarding of new staff as necessary
  • Stay current with Salesforce and other operational tools for product releases and updates

Requirements

  • U.S. work authorization
  • B.A. degree in a related field
