The John P. & Anne Welsh McNulty Foundation seeks a full-time Program Assistant to serve as a core team member of a growing and ambitious organization. The Program Assistant will work directly with the Senior Program Manager and Executive Director, and will play a key role in planning and implementing foundation programs, and provide support to grant-making, communications, and administrative operations.

PRIMARY RESPONSIBILITIES

Programs & Special Projects 

  • support the planning and execution of the McNulty Prize, including systems management, application cultivation, submission review, due diligence, and deliberation preparation;
  • facilitate follow up with applicants, grantees, and other contacts;
  • track applicants, external partners, and other contacts through excel and Salesforce, and develop and analyze relevant insights; 
  • conduct research related to Foundation focus areas or grantee support needs, for example on leadership development, women’s leadership and gender equity, and funding networks and strategies, or other special projects as needed.

Communications

  • work with the Senior Program Manager and Director of Content to develop a comprehensive and strategic communications plan;
  • plan and execute weekly social media and digital content, including newsletters, blog posts, campaigns, and regular updates and maintenance of the website;
  • draft press releases, promotional materials and PR outreach in preparation for major announcements; monitor and compile press coverage and share key news items with staff;
  • research new and relevant outlets and contacts, and maintain media distribution lists;
  • evaluate communications across programs and audiences, including tracking and measuring online engagement and other key indicators.

Events & Administration

  • plan and organize events including panels, workshops, seminars, or receptions;
  • assist with logistics and vendor management, research, materials, and speech writing;
  • serve as on-site or remote support, and carry out other duties and projects, as needed.
  • manage logistics and prepare materials for meetings, travel, and events;
  • support office administration including information technology, knowledge management, facilities, and supplies.

EXPERIENCE & QUALIFICATIONS

The ideal candidate will have the following:

  • Undergraduate degree or relevant coursework required
  • Excellent logistical, organizational, and project management skills
  • The ability to operate efficiently, multi-task, and work independently
  • High attention to detail and follow-through
  • Ability to work under pressure and tight deadlines in a fast-paced environment
  • Ability to represent the Foundation professionally in high level client interactions
  • Excellent communication and interpersonal skills, and the ability to work with and respect people of different cultures and viewpoints
  • Proficiency in Microsoft Office Suite and Google applications.
  • Experience with website, marketing, and social media platforms
  • Passion for making a difference; a growth mindset, can-do attitude, versatility, and openness to engaging in a spectrum of work
  • A collaborative, independent, curious, and flexible temperament as well as good humor
