WHO WE'RE LOOKING FOR
Silver Spring Village, Inc. seeks a highly organized and analytical person with the ability to independently coordinate responsibilities across multiple functional areas, including general administrative support, office management, finance, communications, member services, events planning, and fundraising; and to contribute to the effectiveness and efficiency of a small, collegial staff. The successful candidate shares our commitment to sustaining a robust age-friendly community that fully supports maximally independent, active, and engaged living. This is a 30 hrs/wk position, and specific workdays and hours are flexible.
CORE RESPONSIBILITIES
Office Management
Function as primary liaison with property management and other vendors; Monitor and replenish office supplies; Manage information technology platforms (Office 365, Microsoft Teams, Bitdefender, Zoom, Adobe Acrobat Pro); Manage meeting room and online meeting calendars; Maintain a structured organizational filing system
Member Services
Respond to membership inquiries; Process membership applications and renewals; Facilitate new member on-boarding; Prepare regular membership and services reports; Maintain updated organizational and community mailing lists; Coordinate member benefits and special events
General Executive Support
Provide ongoing administrative support to Executive Director and Volunteer Services Director, and limited task-specific support to board officers and key committees.
Communications
Manage organizational website (Run My Village); Design and prepare flyers, brochures, announcements, and invitations (Canva); Manage and regularly update social media (Facebook, YouTube, LinkedIn, Twitter, Instagram); Coordinate electronic and hard copy mailings
Finance
Function as liaison with consultant bookkeeper; Manage routine financial processes such as invoicing, reimbursements, and credit card reconciliations; Maintain complete files with detailed back-up information; Track office expenses against operating budget and assist in development of annual budget; Manage online payment systems (Square, PayPal)
Fundraising
Maintain donor database; Prepare timely acknowledgement letters; Coordinate production of fundraising mailings and annual report; Maintain fundraising calendar; Maintain complete files of proposals, including supporting materials
SKILLS, EXPERIENCE & QUALITIES
Required
Bachelor's degree; 2+ years' work experience in an office environment; Self-motivated, independent, collegial work style with ability to juggle multiple responsibilities; Top-notch verbal and written language skills; Attention to detail; Advanced knowledge of Microsoft Office 365 applications (Word, Excel, PowerPoint, OneDrive, and Teams)
Desired
Graphic design talent (Canva); Basic bookkeeping knowledge (QuickBooks); Moderately advanced social media skills (Facebook, LinkedIn, YouTube, Instagram, Twitter); Working knowledge of online payment platforms (Square, PayPal); Familiarity with nonprofit fundraising processes and principle; Ability to relate to older adults and familiarity with issues affecting them; Additional languages; Good sense of humor
