Big Picture Philadelphia, a Philadelphia-based nonprofit organization committed to developing and supporting transformational educational experiences for under-served youth, is looking for a dynamic, experienced Assistant Business Manager.

The Assistant Business Manager will work directly with Big Picture Philadelphia staff and vendors, assisting with the management of the business office function under the direction of the Director of Finance and Human Resources. This is a hands-on role that entails responsibility for the accurate recording of financial transactions and faithful implementation of internal controls, as well as effective communication with organizational staff and vendors. Representative tasks may include:

  • General ledger maintenance, including the recording of accounts payable, accounts receivable, and payroll journal entry
  • Responsible for entering payroll and working with payroll vendor to ensure smooth and effective payroll function for staff
  • Ensure proper accounting treatment of deferrals and accruals
  • Communication with client stakeholders, including management, employees, and vendors;
  • Entering banking information in Quickbooks weekly
  • Managing and reconciling the procurement cards
  • Working with the Director of Finance (and Human Resources) to support schools in managing fiscal budgets and analyzing variances;
  • Tracking the use of public and private grant funds; assisting with the preparation of grant budgets and completing grant reports as needed
  • Preparing monthly financial statements and reports;
  • Assisting with the preparation of reports to local and state agencies as needed
  • Support annual independent audit process
  • Serving as a full-time and engaged member of the Big Picture team and staff

The Assistant Business Manager must have reliable transportation to travel to and from Big Picture Philadelphia offices and schools.

Desired Skills & Experience

  • Bachelor's degree required; focus on business, accounting or related field preferred
  • Excellent spreadsheet skills; familiarity with accounting software (Quickbooks preferred)
  • 2 years or more experience in related field/position preferred
  • Comfort working in fast-paced non-profit environments
  • Strong social and verbal communication skills
  • Attention to detail
  • Ability to exercise judgment and make ethical decisions
  • Willingness to be a team player in supporting Big Picture’s mission with a spirit of service to internal customers and stakeholders
