Membership Outreach and Events Coordinator

JOB SUMMARY

The Texas International Education Consortium (TIEC) is seeking a coordinator for member communication, services, and events. The position will serve as the primary point of contact for TIEC’s 37-university  — and growing — membership. The coordinator will handle membership-based communication for member events and services and organize online and in-person meetings and special events. 

This person will become a primary point-of-contact to serve member universities of the consortium, which is made up of primarily Texas public and private universities and select foreign universities, all of which have joined TIEC in an effort to further the internationalization of their institutions. The coordinator will communicate regularly with TIEC member universities and TIEC leadership committees about upcoming events,  as well as programmatic and professional development opportunities for our members’ campuses. The coordinator will be comfortable and professional with email communications - both traditional and via an email marketing software platform. 

Under the supervision of the Director of Marketing and Communications and the Senior Director for Strategic Partnerships, the incumbent will manage member event logistics including in-person, online, and hybrid webinars, workshops, networking events around the state of Texas, and an annual hybrid conference. This includes owning speaker coordination, run-of-show documents, and either venue coordination or online platform logistics, as appropriate to the event. The incumbent will also support the Director of Marketing and Communications in promoting member events and programs and will be the primary respondent for related member inquiries and comments.

The incumbent may be called upon to assist the Senior Director for Strategic Partnerships to support events for prospective members. While prospective member communication and events will be a secondary priority for this position, they may be included.

The individual must be highly organized and able to thrive in a fast-paced environment with various deadlines and priorities and must feel comfortable exercising autonomy and taking ownership/initiative of logistical planning and implementation of member events and outreach efforts. 

MEMBER EVENTS FUNCTION:

  • Coordinate online, in-person, and hybrid events
  • Manage speaker invitations, scheduling, and prep
  • Coordinate with Dir. of Marketing and Communication on event promotion and outreach
  • With supervision, coordinate internal TIEC staff and calendars relating to member events and services
  • Own timelines for event preparation, logistics, and outreach
  • For online events, manage Zoom registration and set up, monitoring of registration and any during-event activities (polls, etc.)
  • For in-person events, coordinate all event logistics including dates, venue, budget, and planning timelines. 
  • Use acquired knowledge from member outreach to contribute to event ideation 

MEMBERSHIP OUTREACH FUNCTION:

  • Coordinate communication about upcoming member events and opportunities
  • Lead the production and distribution of a monthly membership updates newsletter.
  • Assist in keeping the TIEC membership portal web page up-to-date and relevant with new content, opportunities.

  • Comfortable drafting promotional materials such as event descriptions for website and agendas, and simple email copy when needed
  • Available to travel as needed for events, including site visits for venue selection, set up for each venue, and day-of coordination
  • Extremely detail-oriented & well-organized

ABOUT YOU:

  • You are personable, professional, have a good sense of humor, and are comfortable working on a small nonprofit team
  • While you deeply value a solid plan in place ahead of time, you can think on your feet and adjust as you go when needed
  • You enjoy professional writing and are comfortable drafting formal email communications, event descriptions, and can diplomatically manage speakers and audience members 
  • You are passionate about international education, equal access  to quality education, international relations, and cross-cultural communication
  • You are interested in working at the intersection of international relations and higher ed  
  • You enjoy interacting with people from other cultures, can do so professionally and respectfully, and value a diverse range of perspectives
  • You want to make a difference in the world

The successful candidate will evidence 3-5 years’ work experience with the following: 

  • Nonprofit or for-profit  member-based organization, association, or multi-institutional entity
  • Communications, events, experiential marketing, and/or member outreach coordination or management roles in a non- or for-profit environment, preferably membership-based
  •  Independent use of Mailchimp or similar email marketing platform
  • Monday.com or similar project management/collaboration software
  • Self-directed external communication
  • Professional writing for an external audience
  • A bachelor’s degree in marketing, communications/events, public relations, or equivalent experience

WORKING CONDITIONS & PHYSICAL TASKS:

  • Typical office environment; requires the ability to remain seated at a computer workstation for extended periods. Some job functions may be performed outdoors. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle, or feel; and reach with hands and arms. The employee is occasionally required to sit, stoop, kneel, crouch, or crawl. The employee may lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
  • Will be asked to work some evenings and weekends in support of our programs.
  • Some local travel is required; must have a valid driver’s license and access to own vehicle and clean DMV record.

SALARY 

The salary range for this position is $45,000-$47,000, based on salary history and level of experience. TIEC has a merit raise policy, as well as an attractive suite of benefits, including ample annual leave, health insurance, sick leave, observance of federal holidays.
