The Watershed Institute’s mission is to keep water clean, safe and healthy in central New Jersey through conservation, advocacy, science and education. Founded in 1949, the organization is located on a 950 acre reserve in Pennington, New Jersey. The LEED-Platinum Watershed Center serves as the platform for all programs and activities.

We are seeking an experienced Special Events Coordinator who is looking to work part-time. This position is flexible, meaning it allows for the possibility to work reduced hours or no hours during off-peak times.

Working under the leadership of the Director of Development, the Special Events Coordinator will primarily execute three fundraising events each year – the Butterfly Festival (August) , the Watershed FEST gala (October) and a 5K/10K Run (May). This includes planning and logistics, securing vendors, working with volunteers and helping to secure sponsorships. This individual will be part of a six person development and marketing team.

Duties and responsibilities:

  • Coordinate all event-related fundraising initiatives, including logistics, sponsor solicitation, table and/or ticket sales, raffle sales, decorations, signage, silent auction coordination and in-kind contributions.
  • Determine vendor needs, request bids, and maintain vendor relations.
  • Maintain all documentation related to expenses and revenue for these events.
  • Work with the Finance Department to reconcile revenue following events.
  • Collaborate with Marketing Team on event publicity including public relations, advertising and collateral material design, production and distribution.
  • Work with Development staff to maintain all information in the donor and event software to ensure current and accurate entries (working collaboratively with other Development staff as determined by the Development Director).
  • Some assistance may be required with other events throughout the year. These include donor cultivation and stewardship events, and mission-related events such as World Water Day Fair.
  • Some nights and weekends required.

Candidate requirements:

  • Motivated, resourceful, and personable
  • Tangible experience planning and executing fundraising events for nonprofit organizations
  • Experienced in managing event budgets
  • High attention to detail and desire for excellence
  • Clear and effective communicator
  • Familiarity with Fundraising software a plus
  • Minimum of Bachelor’s degree preferred
  • Must have a valid driver’s license
  • Strong computer skills including Microsoft Office
  • Aptitude for learning other software needed for events
