Position Summary

Reporting to the Vice President of Knowledge Services (Supervisor), the Associate of Knowledge Services (Associate) will work to support the Forum’s Knowledge Management (KM) Collaborative, which is powered by a collective technology platform that is currently utilized by 37 of the Forum’s members (our KM Partners)—and growing! The unique state-of-the-art platform offers our members a Salesforce-based constituent relationship management (CRM) solution that is integrated with a Drupal-based website content management system (CMS) for a fraction of what it would cost to develop an analogous offering independently. The Associate will onboard new organizations to our system, create system documentation and support all members of the collaborative to effectively use the platform. 


The Associate will contribute as an active member of cross-organization teams and work collaboratively with other staff to advance program and organizational goals.


This is a full-time, exempt position. The Forum’s office is located in Washington, DC but qualified remote candidates are encouraged to apply. Salary starting in the mid-50s, commensurate with experience, with a competitive benefits package including 100% employer paid health coverage and a retirement plan.

Essential Duties and Responsibilities

Technical Support/Project Management

The Collaborative includes staff across the nation with varying degrees of experience and technical aptitude. Efficient and timely technical support along with effective project management of larger tasks are integral components of this work. The Associate will:

  • Provide first-level technical system support via Slack, email, phone, and project management application
  • Monitor all Slack channels and Asana support tickets to ensure that no query remains unanswered
  • Work with Forum’s KM team members and external system partners on project management of website launches and custom development efforts.


Onboarding of New KM Partner Staff

As new KM Partners join the Collaborative or staff turns over at existing KM Partners, Forum’s staff provide training and consulting under a series of onboarding services. The Associate will:

  • Support onboarding efforts including orientation, requirements gathering, and documentation for new KM Partner staff.
  • Monitor progress and provide basic training, as appropriate.


Documentation

Routine updating and maintenance of user guides along with related documentation of platform’s features and nuances are required components of Collaborative operations. Working independently and closely with volunteers, the Associate is expected to:

  • Manage the Collaborative’s Documentation Working Group
  • Manage implementation of the annual Documentation Roadmap
  • Draft periodic communications highlighting how-to tips and best practices for system administrators.


Program Support

Working with a small KM team, the Associate will help plan, conduct, and support the following Collaborative programming efforts:

  • Manage the post-production/content management of recorded resources for all KM programs
  • Provide planning and logistical support for KM programming including Office Hours, Working Group meetings, Training sessions, and the annual gathering of KM Partners
  • Assist with scheduling and note-taking during internal and external meetings, as needed
  • Monitor and maintain the Forum’s KM web portal to make sure it includes up-to-date content
  • Support all surveying and scheduling efforts such as evaluations, voting, and requirements gathering
  • Be in regular contact with all system partners to ensure we are meeting the needs of each organization
  • Keep up with recent developments in Drupal and Salesforce communities.


Governance and Communications

The Collaborative has an extensive governance framework that captures multiple stakeholders, each of which requires consistent written updates and check-ins. To support these efforts, the Associate will:

  • Identify, draft and maintain a running list of key updates for different audiences (KM Partners, KM CEOs, Forum’s Board, etc.) to ensure that everyone stays informed about the work, issues, budget, and other decision points in the Collaborative
  • Send periodic communications on the listserv and relevant Slack channels and listservs about key platform features.


Selection Criteria to Qualify for This Position


Required Elements

  • Strong technical aptitude and ability to learn new technologies
  • Demonstrated proficiency in HTML and image/video editing skills
  • Proficient in Microsoft Office and Google Apps
  • Excellent communication skills, with the ability to create effective written, verbal, and web content for internal and external audiences across multiple platforms
  • Demonstrated experience in providing high-quality customer service and meeting clients’ needs
  • Strong organization skills: ability to set priorities, develop schedules, and monitor progress toward goals
  • Team player, with the ability to work flexibly with many different leadership and working styles
  • Strong attention to detail
  • Ability to organize and prioritize tasks and manage time for optimal productivity
  • Ability to manage multiple tasks and adjust to changing priorities
  • Personal qualities of integrity, credibility, and a commitment to and passion for the Forum’s mission and vision.


Preferred Elements

  • Experience with Salesforce, Drupal or other CRM/CMS
  • Experience with email marketing platforms such MailChimp or Pardot
  • Experience with Google Analytics and/or other relevant applications
  • Work experience in, and/or knowledge of nonprofit, membership association, and/or philanthropy sector
  • Experience with Slack, Asana, Zoom, Office 365, Box, and Alchemer.
