Description

Part Time: 20-25 hours/week

Formed in 2005, the Myrtle Avenue Brooklyn BID supports a vibrant, neighborhood commercial corridor that serves a diverse community of property owners, businesses, residents, workers, and visitors. The BID does this by maintaining a clean and safe environment, marketing district assets, advocating for our small business community, planning & undertaking urban improvements, producing cultural and community programming, and promoting local hiring.

Our organization fosters an inclusive vibrant community anchored by Myrtle Avenue. We do this by engaging and supporting our neighbors, cultivating partnerships, building community capacity, identifying needs and providing services that connect our neighbors to resources and opportunities.

ABOUT THE POSITION

As an Administrative Assistant at Myrtle Avenue Brooklyn partnership, you will play a crucial role in supporting the day-to-day operations of our organization. You will assist with various administrative tasks, including providing staff support for meetings, managing financial documents, handling general administrative duties, and occasionally supporting event coordination efforts.

DUTIES AND RESPONSIBILITIES

General Admin

  • Manage and order supply office inventory
  • Conduct data entry tasks to maintain accurate records across various platformsincluding databases and mailing lists
  • Filing & General document organization
  • Collect timesheets and prepare payments for vendors and hourly workers
  • Provide assistance in filing reports
  • Provide support for and at Board meetings including assembling and distributing agendas, taking minutes, and sending out calendar invites and reminders
  • Draft engaging flyers and outreach materials to support communication efforts
  • Assist with HR documentation and onboarding processes for new hires

Financial Admin

  • Responsibilities include preparing documents for grant billing including collecting and preparing receipts and assisting with filing reports
  • Occasional support tasks such as sponsorship banner renewal and thank you letters
  • Quickbooks data entry such as coding expenses

Event Support

  • Help prepare for events including filing permits, preparing contracts, and gathering w9s
  • Support events on the occasional evening or Saturday

Qualifications

  • Highly organized, detail-oriented with strong time management skills and the ability to prioritize tasks effectively
  • Required: proficiency in QuickBooks and databases
  • Excellent communication skills, both verbal and written
  • Self-sufficient, able to work independently
  • Fast learner, self-motivated, and creative
  • Ability to maintain discretion and confidentiality.
  • Communicates effectively both orally and in writing
  • 2-5 Years of previous experience in administration
  • Helpful but not required
  • Previous work experience in a non-profit organization.
  • Background in business administration and knowledge of BID and NYC government agencies
  • Experience with City and State funding requirements
  • Bi-lingual

PHYSICAL REQUIREMENTS 

Occasional outdoor work will be required. Event and project support in the form of transport of heavy/bulky items will be necessary at times
