Position Overview:

The Specialist is responsible for supporting the organizational unit in its objectives of maintaining relationships with current sponsors and building relationships with new partnerships through prospecting, scheduling and databasing/tracking ongoing communications and engagement. This position supports revenue generation, pipeline development and Salesforce. The successful candidate will be able to multi-task, prioritize and organize assignments while working under pressure, as well as be able to take initiative, work independently, and be a team player.

Position Description:

As Specialist, he/she/they is charged with of supporting the needs of the organizational unit. Specialists will be responsible for managing the day-to-day tasks that keep the organizational unit running smoothly. Performing a variety of business-related tasks, which vary based on needs including but not limited to planning and coordinating one or more programs including fundraising, budgeting and invoicing as well as community outreach, special events that publicize the organization to the community and client base. The specialist must have strong communication skills and confident in their ability to collaborate with clients, MDA finance teams and organization members to ensure MDA serves its client and community with excellence. The Specialist will coordinate with clients, MDA finance teams and other team members on budgeting and allocating funds.

Specific skills include experience with Microsoft Office including Word, Excel, PowerPoint, Outlook, Microsoft Teams, Zoom and Salesforce.org; ability to multi-task, prioritize and organize assignments while working under pressure. Must be able to work well in a team environment, take initiative eagerly, work independently and be an effective team player.

Business Unit:

This business units mission is to develop direct relationships within its industry sector. As part of a team a high performing of subject matter experts, each member is responsible for leveraging knowledge in the role fundraising, sales, and marketing play in driving growth. Each business unit will have ultimate accountability aligning internally and externally to build strategic large-scale programs and multi-million-dollar partnerships.

Essential Responsibilities:

  • Build and maintain relationships with external thought leaders and stakeholders to understand their scheduling needs and create a trusted relationship with MDA
  • Proactively triage requests for responses from members of the department
  • Assist in preparation of Board materials, reports for management, and/or clients
  • Assist in preparation of PowerPoint presentations
  • Monitor internal deadlines and timelines for multiple ongoing projects
  • Monitor competitive activity and trends within the territory to keeps business unit knowledge current
  • Coordinate requests to IT and procurement
  • Maintain database of outreach and contacts in Salesforce.org
  • Oversee operations for the team, client and/or program
  • Collect and analyze data
  • Ensure compliance with program regulations
  • Work with the organization to meet organizational and/or Client need
  • Plan and schedule activities, meetings, etc.
  • Monitor program budgets as directed
  • Closely collaborate with internal team members/departments to ensure optimal and clear communication efforts
  • Record minutes of meetings
  • Prepare memos and invoices and perform other clerical tasks

Qualifications:

  • Bachelors Degree or equivalent experience required
  • Minimum 1 year of relevant experience within a complex organization required
  • Experience with a CRM software, Salesforce.org use preferred
  • Must be able to work in a dynamic, complex, fast-paced organization
  • Outstanding communication and organizational skills
  • Ability to work with both external and internal stakeholders
  • Comfortable interacting with families/communities from diverse disability, cultural and economic backgrounds
  • Ability to understand the information and reports necessary to assisting in supporting the Business Units success in managing accounts and client/partner relations.
  • Occasional travel required
