ABOUT CTBUH

The Council on Tall Buildings and Urban Habitat is a nonprofit organization dedicated to smarter, more sustainable cities and a more viable future for global populations. CTBUH convenes the shapers of cities, providing the knowledge and resources that will transform cities into dense and livable centers of innovation.

 

WHO WE’RE LOOKING FOR

Currently CTBUH is working on multiple initiatives, including a multi-city global conference in November on urban sustainability and an organization-wide call for member engagement. We’re looking for a smart, energetic, and flexible administrative assistant who can work alongside the COO on these immediate priorities, handling communications, scheduling and other administrative matters. Longer term, the administrative assistant will work with the COO and other leaders to support organization goals.

 

POSITION LOCATION

CTBUH is headquartered in Chicago, Illinois, with offices in Italy and China. This position is located in Chicago. Currently, headquarters staff have returned to working in the office. This position will work Monday-Thursday in the office and work Fridays from home.

ESSENTIAL RESPONSIBILITIES:

  • Performs a wide variety of assignments, some of which may be confidential in nature and require research to complete
  • Creates and edit reports, correspondence and other documents as requested.
  • Schedules meeting with staff and volunteers.
  • Liaises with other teams on assigned projects to provide administrative support.
  • Sorts, screens, and distributes incoming mail, drafts and sends prepared responses to routine inquiries.
  • Arranges meetings and conferences with staff and volunteers, schedules appointments, and performs other duties to maintain COO’s schedule.
  • Orders, stocks, and distributes office supplies.
  • May perform basic bookkeeping functions.
  • May assist with basic website editing.
  • Performs data entry to keep customer records updated.
  • Other job-related duties as assigned.

 

REQUIRED QUALIFICATIONS:

  • Exceptional communication skills, both written and oral
  • Excellent organizational skills with strong attention to detail.
  • Microsoft Excel mastery
  • Experience with Adobe Acrobat

 

PREFERRED QUALIFICATIONS

  • Experience with Fonteva or Salesforce
  • Nonprofit experience
