Reporting to the Director, Direct Response the Direct Response Associate will be responsible for project and administrative support of a complex multi-channel mass market fundraising program. This role helps ensure the program’s success by working with key internal and external stake holders to keep the program on track and things running behind the scenes. This role will also help support and coordinate data management tasks including program reporting, list segmentation, marketing effort setup, donor record management and maintaining database hygiene.

The Direct Response Associate will be heavily involved in every aspect of the Direct Response program for 60+ annual campaigns across multiple channels. This includes routing creative for internal approval, proofing final copy and working with partners to ensure efficient on time delivery. In coordination with the Director the Direct Response Associate will also track the department budget, recording expenses, routing invoices for payment and reconciling submissions.

 

DUTIES AND RESPONSIBILITIES:

Campaign and Project Support

  • Coordinate campaign production calendar, help to keep deadlines and meet key dates for deliverables
  • Collaborate with the creative agency’s account manager(s), handling both sides of the project together
  • Review materials with a keen eye for detail – including but not limited to verifying production specs, proofreading copy for accuracy, checking photo releases and testing digital pieces for accuracy/functionality
  • Route assets internally for key stakeholder approval and release
  • Maintain current work-in-progress records and archives of past project information as appropriate
  • Communicate campaign overview/summary to internal teams and stakeholders
  • Track receipt and quality of seeds and print samples
  • Help manage production of cross-channel marketing efforts and support database/data management functions as needed

Budget Coordination and Tracking

  • Track expenses for a large department budget, reporting status regularly to Director
  • Process invoices making sure they are paid per the vendor’s requirements
  • Work with internal Finance department to coordinate monthly spends and manage postal accounts
  • Recognize financial terminology and understand what can have an impact on a project budget

Administration

  • Execute meeting setup and serve as note taker in meetings
  • Participate in weekly status meetings with key internal and external stakeholders
  • Help manage inventory levels at lockbox
  • Conduct regular reviews and/or updates of copy, art and processes for acknowledgment and welcome packages
  • Collect and file competitive communication and samples
  • Stay current on industry trends, understand competitive space and build industry relationships

Staff Management

  • Understand team’s priorities for project approval and decisions – push hard on deadlines, proactively anticipate questions that will need to be answered and synthesizes information
  • Manage several external vendor relationships for day-to-day management, including postal vendors, letter shops, telemarketing partners and lockboxes
  • Work daily with other departments to gather content and understand agency processes/priorities in relation to the Direct Response program
  • Ensure deadlines are met across teams

 

REQUIRED SKILLS:

  • Strong attention to detail with proofreading/editing experience
  • Highly organized self-starter with ability to deliver to a deadline
  • Experience managing an account budget
  • Analytical thinker and problem solver
  • Must have unrestricted authorization to work in the United States


PREFERRED SKILLS:

  • 1-3 years’ experience with mass marketing industry, standards, and practices across direct response channels in all verticals
  • Nonprofit marketing experience
  • Nonprofit database experience
  • Experience working with a list broker and list management preferred
  • Passion for our mission and a desire to work within the emergency response/global health sector
