The Whiting Foundation seeks a full-time Program Assistant with a demonstrated commitment to contemporary literature to support grantmaking across our programs, with particular responsibility for the Whiting Awards and our social media presence.

Working as an integral member of our 4-person team, the Program Assistant will make important contributions to the advancement of literature and the humanities, build relationships in the literary community, and gain an insider’s understanding of how foundations operate.

About the Whiting Foundation

Whiting is a not-for-profit private foundation based in New York City. We have supported literature and the humanities for more than 40 years. The Whiting Awards, the Foundation’s best-known program, gives $50,000 annually to each of ten emerging writers of fiction, nonfiction, poetry, and drama in recognition of impressive early accomplishment and the promise of great work to come. Past winners have gone on to shape literature in this country in fundamental ways, garnering additional honors including Pulitzer Prizes, National Book Awards, and MacArthur Fellowships.

Our other annual literary programs include Creative Nonfiction Grants to support the final stages of writing deeply-researched and imaginatively composed books and Literary Magazine Prizes to advance the crucial role of print and digital publications as champions of writers and writing. In the humanities, our grants fund public-facing projects by scholars, the preservation of endangered cultural heritage around the world, and engagement with the humanities by high-school students. We are proud to help make a place in the world for all of these important contributions to art and understanding.

Key Responsibilities and Requirements

The main responsibilities and requirements of the Program Assistant position include:

  • Program and organizational administration: The core of the Program Assistant's job is managing the logistics of (a) the Whiting Awards for emerging writers, (b) the annual celebrations of the Whiting Awards and Creative Nonfiction Grant, and (c) the organization generally. This includes helping to identify potential nominators and selectors; maintaining systems for complex processes such as tracking nominations, coordinating the distribution of materials to reviewers, and capturing and compiling reviewers’ ratings; conducting the preparations for a 400-person awards ceremony and a 100-person grant celebration each year; building and refreshing contact lists; handling mail, e-mail, files, and supplies; and assisting in the general business of the office.
  • Applicants should have at least 2-3 years of administrative experience
  • Demonstrated organizational skills and a pro-active, detail-oriented approach are crucial
  • Experience with event management is a plus
  • Social media and online presence: The Program Assistant is the primary manager of Whiting’s social media presence, including our Twitter, Instagram, and Facebook accounts, which we regard as important avenues for promoting the work of our grantees, spreading the word about opportunities to apply for our funding, and celebrating literature more broadly. This role is also the lead for keeping up with the news about our literary awardees and using our online presence to disseminate it as appropriate.
  • Fluency and flair with social media – and the flexibility to adopt Whiting’s “voice” – are crucial
  • The ability to learn basic website maintenance quickly will be an asset, although the Program Assistant is not required to do any coding
  • Communication with grantees and partners: The Program Assistant interacts with distinguished authors and humanists by e-mail, phone, and in person, representing the Foundation and its mission. We all also deal regularly with confidential and sensitive information, including the expert review processes by which our winners are selected.
  • Maturity and strong communication skills are very important
  • Discretion and diplomacy in handling confidential information are essential
  • The Program Assistant must also be creative and resourceful in making contacts within the literary community
  • Research and thought partnership: From time to time the Program Assistant conducts research to inform the evolution of our programs. When the basics of the job have been mastered, this person will also serve as an important voice in our small staff, offering ideas and insights that will help us continue to strengthen our grantmaking.
  • Research skills and the ability to synthesize information effectively will be valuable
  • We prize collegiality and good humor highly

Job Details

The position is full time with a start date on or around October 18, 2021. The salary range is $43,000-46,000, based on experience and other qualifications. Whiting provides a competitive benefits package.

We are temporarily working remotely because of the COVID-19 pandemic, but the position normally requires being in our New York offices in person at least 2-3 days a week. Proof of vaccination against COVID-19 is required.
