Events Coordinator, Individual Giving

The Events Coordinator supports our Individual Giving division by organizing and executing all events for members of our six patron groups: the Director's Circle, Young Leadership Council, Brooklyn Families, Contemporary Art Committee, Council for African American Art, and Council for Feminist Art. The Coordinator manages at least fifty events each year, ranging from curator-led tours and special experiences at the Museum to intimate studio visits around the city.

Requirements:

  • Two or more years of experience in event planning or a transferrable skillset
  • Strong customer service skills, with an ability to interact with patrons and anticipate their needs
  • Ability to manage projects independently, exercise thoughtful prioritization, and meet competing deadlines on time
  • Outgoing personality and capacity to build collaborative relationships with vendors, Museum staff, and other internal and external parties
  • High level of motivation, sense of agency and proactive thinking, and problem-solving skills
  • Superior organizational skills and the ability to multitask, prioritize, and learn quickly
  • Ability to work independently and as part of a team
  • Results-oriented, with a passionate commitment to the arts and appreciation of the Museum’s goals and mission

Additional qualifications:

  • Bachelor's degree preferred
  • Experience with Mailchimp, Concur, Microsoft Office, and/or Raiser's Edge is helpful
  • Prior experience working in a museum or arts institution is a plus

Responsibilities:

  • Oversee an annual calendar of at least fifty patron group events and major donor engagements by:
  • Generating event logistics, in coordination with external and internal partners
  • Maintaining budgets for all events, negotiating and tracking expenses, and processing invoices, purchase order requests, and fulfillments
  • Preparing staff for events, including Development, Curatorial staff, and Museum leadership
  • Ensuring departmental and institutional calendars are updated consistently
  • Working with Graphic Design and Editorial Services to create collateral, such as evites and signage
  • Sending invitations, tracking replies, and managing follow-up
  • Providing on-site support at events, including after-hours programs
  • Promote patron events, in collaboration with Marketing staff
  • Work with the Membership, Public Programs, and Visitor Experience teams to ensure patrons receive the highest level of Member benefits
  • Act as the Brooklyn Museum's liaison with domestic and international art fairs
  • Provide assistance during exhibition openings, Board meetings, and other special events as needed
  • Perform related duties as assigned

Schedule: 35 hours per week, Monday through Friday, with frequent evening and occasional weekend hours expected for events
